The opportunity

We currently have an open term, full time opportunity at our Sydney office for a Business Assistant and Facilities Coordinator to manage QIC’s Sydney corporate office through day-to-day coordination of facilities-related tasks, general office administration and front-of-house services.

Working at one of Sydney’s most established, prestige business addresses, you will be joining a high energy and collaborative team who are based in the Brisbane head office. The team provide facilities management and office administration services to all internal staff and clients of QIC globally.

Your role will be responsible for delivering high-touch and professional business assistance with a strong emphasis on customer service.

Other duties will include:

  • acting as the occupational workplace health and safety ambassador;
  • prompt and timely response to telephone enquiries, call transfers and message taking for staff;
  • maintaining cleanliness and tidy appearance of the reception area and preparing meeting rooms;
  • advising staff of available facilities, induction and emergency procedures;
  • being the point of contact to coordinate facilities maintenance works;
  • provide administrative assistance to both onsite staff and interstate visitors as required.

The ideal candidate

To be considered as a strong candidate, you will be a team player with demonstrated experience in a similar role and have had exposure to a broad range of office secretarial/administrative functions within a large, complex business. You will have the confidence to manage office requirements whilst delivering an excellent front-of-house service. With meticulous attention to detail, you will competently manage multiple stakeholders and demonstrate excellent verbal and written communication skills.

This role requires a minimum of 5 years support experience in a corporate fast paced environment where you have worked extensively with Microsoft Office suite particularly Outlook. Well-developed organisation and time-management skills coupled with proactiveness, drive and professionalism would be highly advantageous, as would formal Business administration training.
