Essential Job Functions:

1. Assist the Community Manager in the management of the day to day operations of the property to achieve the highest level of professionalism by all team members in the office and on the property. These duties include but are not limited to the following:

a. Operate the office in a professional, clean, uncluttered and well-staffed manner.

b. Maintain the office and resident files in a confidential and secure manner.

c. Safeguard and assure all monies received on the property are properly deposited and entered into system timely.

d. Ability to work overtime as necessary and pre-approved by the Community Manager.

2. Create, maintain and encourage excellent resident relations by all members of the team. This includes but is not limited to the following:

a. Promptly attend to resident comments and/or complaints.

b. Require all team members to be friendly, open and available to the residents while maintaining the standard of non-fraternization.

c. Ensure that the proper move in paperwork, keys and remotes are prepared for a new resident.

d. Inspect make ready apartments prior to move in.

e. Require all team members to be friendly, open and available to the residents and co-workers while discouraging non-fraternization.

3. Manage and monitor all rental collection. These include but are not limited to the following:

a. Collect rent in a timely basis and deposit all receipts prior to bank close each day.

b. Assess move out condition of apartments and have a final account statement sent with the final disposition in a manner meeting the lease contract requirement.

c. Immediately inform and refer any liability claims, legal complaints or other violations to the Community Manager, Regional Manager, and corporate office.

4. Support the Community Manager’s efforts to create and monitor marketing of the property. This includes but is not limited to the following:

a. Keep current on the businesses and retail nearby, hiring trends, new construction and any other aspects of the sub-market and overall market that could impact occupancy and/or income of the property.

b. Assist in the creation of marketing surveys and any other tools.

c. Supervise the leasing team, their tours, and closing techniques to achieve the best possible closing ratios.

d. Monitor the leasing teams follow up of all leads to create the most traffic possible.

5. Perform all Essential Job Functions on the “Leasing Manager, Leasing Consultant and Bookkeeper” job descriptions.

Physical Requirements:

  • Will need to be on feet (33% to 100%).
  • Will need to perform the following physical activities (50% to 100%).

Perform routine office duties such as filing into high and low cabinets; copier and printer maintenance; picking up debris other items on property.

Inspect and show property by accessing upper floor apartments and interior apartments with multiple levels.

Open doors and cabinets; inspect and show property.

reach above shoulders

Store supplies, inspect property.

grasp/grip/turning and finger dexterity

Typing, writing, operate office equipment, unlocking doors, handling packages and supplies.

3. Lifting/carrying (supplies, resident packages, files, etc.)

Over 50 lbs.

Rare need (less than 1%)

Between 10 – 25 lbs.

Occasional need (1% to 33%)

Less than 10 lbs.

Frequent need (33% to 100%)

NOTE: Lifting and carrying of weights exceeding 50 lbs. is often accomplished with assistance from one or more persons. Examples of heaviest items lifted include cases of paper, heavy resident packages and cases of soda/water. Wear Personal Protective Gear such as provided back brace, when necessary.

Vision Requirements:

  • Constant need (50% to 100%) to read and review reports, complete forms, enter data, view computer screen and wide variety of correspondence.
  • Constant need (50% to 100%) to see things clearly beyond arm’s reach.
  • Frequent need (33% to 50%) to see small detail.

Speaking, Hearing and Written Requirements:

  • Constant need (50% to 100%) to receive instructions from residential management, communicate via telephone and in person with staff, residents, vendors, etc., for the purpose of receiving information and or direction.
  • Constant need (50% to 100%) to communicate either in writing or typing to residents, staff, vendors, corporate and prospects. This requires clear and concise writing skills that also include correct grammar and spelling.

Driving Requirements:

  • Frequent need (33% to 50%) to utilize personal transportation to make deposits if necessary and view/inspect other apartment communities.
  • Occasional need (1% to 33%) to respond to after hour emergencies.
  • Must maintain valid driver’s license and car registration and maintain proper automobile insurance if driving a vehicle for business purposes.
  • Must maintain valid driver’s license if driving a golf cart at the property.

Working Environment:

  • Constantly indoors (50% to 100%).
  • Frequently outdoors (33% to 50%) during all weather conditions to inspect the property.
  • Occasional exposure to paint fumes, solvents adhesives, etc. (1% to 33%). Example – apartment immediately during or after turnover. Employee must wear Personal Protective Equipment, when necessary.
  • Rare occasions to work or view the property in awkward areas or positions. Example – climbing over a small wall to view the roof or a/c units.
  • Rare occasions work under stressful and adverse conditions. Example – open and maintain office during or after a fire, hurricane or other disaster.

Computer Skills

  • Must possess above average computer skills with basic knowledge of Word, Excel, Outlook and Social Media sites.
  • Familiar with and have worked on industry standard programs such as YARDI, or other such programs.
