The Colonnade at Beckett Lake, a senior housing community located directly on Beckett Lake in Clearwater, FL is seeking qualified candidates for the position of Business Office Manager. The ideal candidate will have experience in office administration including day-to-day business functions and human resources. Candidates must have exceptional organizational skills, keen attention to detail, and commitment to excellence. Time management, along with excellent oral and written communication are essential to success in this position. SUMMARY:
Enhances and improves the SRIM experience specifically in customer service by communicating with residents, families, and associates, demonstrates and promotes SRIM’s core value of the Golden Rule, and provides support to the Executive Director including coordination of various support services, accounting, and human resource functions.
Essential Duties and Responsibilities
- Speaks to and interacts with residents, families, and visitors while showing empathy, kindness, compassion, and respect.
- Answers phone with a welcoming and inviting attitude, and always responds courteously.
- Coordinates all aspects of the pre-employment and orientation process, including job ad placement, applicant screening, pre-employment screening/testing, and new hire paperwork.
- Sets up new personnel files and continually maintains files per established policy.
- Coordinates all employee training, certification, and employee health screening requirements and updates. Faxes all new hire and termination PAF’s to HR/Payroll in a timely manner.
- Provides benefit information to new employees upon hire and explains the enrollment process.
- Coordinates and tracks all employee evaluations.
- Assists with the coordination of associate appreciation initiatives and events.
- Processes invoices, completes batch headers, and submits to Executive Director for approval.
- Knows and understands the office supply budget and processes/places orders within budget.
- Demonstrates an ability to know each resident and family member by addressing by name.
- Demonstrates a positive and respectful attitude about work issues, policies, and procedures.
- Demonstrates a positive and respectful attitude with residents, families, visitors, associates, and management.
- Knows, understands, and follows HIPAA regulations.
Qualifications, Education and Experience
- Knowledge of Microsoft Office 365,
- Knowledge of payroll system platform and human resource systems. Preferred knowledge with Paychex System
- High school diploma and two to four years related experience and/or training; or equivalent combination of education and experience.
- Strong organizational Skills
- Ability to multitask with strong attention to detail
- Excellent oral and written communication skills
- Must submit to and pass a drug test pursuant to Company Drug-Free Workplace Policy which includes random testing.
- Must submit to and pass a level 2 background screening
