Triad Retail Media is seeking a C-Level Executive Administrator to support its CEO, COO & General Manager.
The C-Level Executive Administrator provides top-notch professional assistance to the CEO and the Senior Leadership Team, including board activities, domestic and international travel, meetings coordination, special events and facilitation of executive-level day-to-day business actions.
Job Responsibilities:
- Produces information by transcribing, formatting, inputting, editing, retrieving, copying and sending the approved communication in the proper manner.
- Maximizes executives’ time by reading, researching and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating necessary communication.
- Maintains executives’ appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel, along the required updates to such events.
- Represents the executive by attending meetings in the executives’ absence to take detailed notes when necessary.
- Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries at the executive level.
- Maintains executive’s and customers’ confidence and protects operations by keeping all personal and business information confidential.
- Completes projects by assigning work to clerical staff when needed; following up on results per the task.
- Prepares reports by collecting and analyzing information.
- Secures information as required by the Officers.
- Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
- Maintains executives’ office supplies inventory and anticipates needed supplies for meetings, guests and upcoming engagements.
- Ensures operation of equipment necessary to perform all duties, supported by the company’s IT department.
- Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
- Manages and coordinates all C-Level meetings and activities in the Tampa headquarters.
Skills and Qualifications:
Outstanding writing skills, reporting skills, meetings scheduling, MS Office skills, organization, time management, presentation skills, travel logistics, troubleshooting and verbal communication. The ideal candidate is reliable, can multitask, has a great attitude and professional demeanor.
Education and Experience Requirements:
- Bachelor’s Degree required
- Minimum of 10 years’ relevant experience
- Work hours are 8:30 a.m. – 5:30 p.m. EST
