Full Job Description

Ventura Law is looking for an Executive/ Personal Assistant (EA) to provide support to our St. Petersburg, Florida-based CEO. We are looking for proactive candidates who can identify both the issues and solutions; can handle a variety of tasks; and likes to work independently. Candidates who have successfully worked as executive / personal assistant are preferred.

The position will be a combination of remote work and in-office meetings with the CEO in the St. Petersburg Office. The position also requires a flexible work schedule. Given the nature of this position, there are times when the EA will need to be available during evenings and weekends.

The EA provides executive support in a one‐on‐one working relationship and serves as the primary point of contact for internal and external constituencies. The EA completes a broad variety of administrative and personal tasks for the CEO including: managing an extremely active calendar of appointments; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel‐ and sales‐related meetings. The EA also provides support for the CEO’s and his family’s personal affairs. Other duties include, but are not limited to:

  • Perform follow-up on business initiatives begun by the CEO. Keeps track of the status of projects and provides appropriate updates when needed.
  • Communicates directly, and on behalf of the CEO, with business partners, community leaders, client prospects, vendors, staff, external Board Members, and others, on matters related to CEO’s strategic initiatives.
  • Research, prioritize, and follow up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
  • Provides a bridge for smooth communication between the CEO’s office and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management staff.
  • Works closely and effectively with the CEO to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a “barometer,” having a sense of the issues taking place in the environment and keeping the CEO updated.
  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting letters, personal correspondence, and other tasks that facilitate the CEO’s ability to effectively lead the company.
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures and without oversight.
  • Assists the CEO and his family with personal activities.

Required qualifications include:

  • 5+ years of Executive Assistant experience.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint).
  • Must be extremely organized and detailed.
  • Should be comfortable with iPhone and Apple products. Ability to provide instruction on the use of technology.
  • Must have the ability to “connect the dots” to understand business initiatives.
  • Ability to manage both professional and personal appointments
  • Strong communication skills, both written and verbal
  • Proven ability to work independently in a fast‐paced environment.
