**JOB SUMMARY**
Responsible for the general administrative support for managing office(s) or group of sales/client facing professionals. Maintains the organization brand to develop and produce marketing materials such as proposals, presentations and communication materials. Performs medium to complex administrative support activities and provides functional advice when needed.
**ESSENTIAL DUTIES AND RESPONSIBILITIES**
Produces marketing materials and maintains websites for listings for sales/client facing professionals. Marketing materials include: property flyers, brochures, Campaign Logic eblast, postcards, placemats, maps, floor plans, BOV’s, Offering Memorandums, Tour Books and Professional Profiles.
Creates standard listing and commission agreements; coordinates non-standard listing creation, requests and approvals with sales/client facing professional(s) and legal department(s); in coordination with other departments, maintains and tracks listings and commission agreements. Ensures client receives executed copy. Listing process to include: creation of marketing budget, monitor expiration dates, adds/removes signs, maintains confidentiality agreements and provides client status reports.
Maintains internal and external databases such as Opportunities, CBRE360, LoopNet, Costar, The Well, Sales Force.com, etc.
Coordinates/compiles market and property research to include: tax reports, aerials/maps, demographics, traffic counts, etc.
May conduct property tours to show space to client(s) as needed.
Prepares financial option scenarios using ProCalc for listings.
Miscellaneous duties may include: prepares vouchers when listings are complete and expense reports.
May coordinate with other department members the creation of press releases, client sponsored or sales/client facing professional events and social media feeds; obtains owner, Marketing Manager and Managing Director approvals for same as/when needed.
May coordinate with clients and sales/client professionals obtaining owner approval(s) for all marketing materials; obtains Marketing Manager and Managing Director approvals for all non-standard marketing materials; ensures marketing materials and approvals are maintained with each listing.
May act as a DOA (Delegate Of Authority) in interactions with other departments (DH).
Participates in training sessions to include: National Marketing/Web Calls, local specialty meetings and Line of Business Calls.
Other duties as needed.

No formal supervisory responsibilities in this position.

**EDUCATION and EXPERIENCE**
Associate’s degree (A.A.) or equivalent from two-year college required. Bachelor’s Degree (BA/BS) from four-year college or university preferred. Three years experience providing administrative support to multiple or team of professionals; ability to determine and respond to conflicting priorities preferred. Two years experience in Real Estate industry.
**CERTIFICATES and/or LICENSES**
Current real estate license is required for where work is performed.
**COMMUNICATION SKILLS**
Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence.
Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor.
Ability to effectively present information to an internal department and/or large groups of employees.
**FINANCIAL KNOWLEDGE**
Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.
**REASONING ABILITY**
Ability to understand and carry out general instructions in standard situations.
Ability to solve problems in standard situations. Requires basic analytical skills.
**OTHER SKILLS and/or ABILITIES**
Intermediate skills with Microsoft Office Suite products such as Word, Excel, Outlook, etc., internet research and web publishing skills. Ability to manipulate basic templates in Power Point and/or InDesign preferred. Ability to solve problems, mathematical analysis and project management. Strong marketing knowledge needed. Knowledge of accounting and business law helpful.

Decisions made with general understanding of procedures and company policies to achieve set results and deadlines. Errors in judgment may cause short-term impact to co-workers and supervisor.
