Position Summary:

The Property Manager will manage all aspects of a portfolio of properties (retail).  Will oversee daily operations, vendor selection and oversight including contract negotiation and management, financial reporting including monthly variance reports, annual budget preparation and monitoring, and capital improvement project planning with assistance and oversight from company construction management team.  The Property Manager will also direct the activities of a staff of assistant property managers (APM) on assigned portfolio, and work closely with the APMs and the Manager of Maintenance in directing field work orders to staff of internal maintenance technicians and contracted porters.  The Property Manager will be directly accountable for the appearance and operations of assigned portfolio taking “ownership” pride and interest in the care of the asset.

Essential Duties and Responsibilities:

  • Represents Ownership & RMC Property Group in the day-to-day management, oversight, and coordination of operations, maintenance, administration, and improvement of assigned commercial properties.
  • Build strong tenant relations through regular communication to ensure needs are satisfied & concerns and/or disputes are amicably resolved.
  • Ensure tenant lease requirements are met and maintained.
  • Direct & coordinate activities related to tenants moving in, relocating or moving out of the property.
  • Coordinate vacant space cleaning and/or renovation for marketing and presentation in “show ready” condition.
  • Identify weak and/or in-default tenants and coordinate appropriate action with other departments to ensure financial and insurance obligations are met through traditional and innovative means including face-to-face meetings, credit and/or financial counseling and referrals, telephone calls and correspondence.
  • Assist Director of Property Management with legal documentation and information for tenant default & eviction cases.
  • Research & assist in response to property liability lawsuits, such as slip & falls, as required.
  • Inspect grounds, facilities, and equipment routinely to ensure vendor contract fulfillment, adherence to property standards and to determine necessity of repairs or maintenance.
  • Investigate complaints, disturbances and violations, and resolve problems following management rules and regulations.
  • Build strong Owner relations through regular communication and ensuring requirements & visions are met.
  • Cultivate open and positive communication and knowledge sharing with internal company stakeholders including, but not limited to leasing, accounting, and construction.
  • Identify & recommend capital expenditures to Ownership.
  • Research, identify, negotiate & implement new and current vendor contracts to ensure the best return on investment and economies of scale, while maintaining high quality.  Ensure vendor certificates of insurance are on file and current.
  • Build relationships with local authorities and work with them to ensure property compliance and response during local emergency situations.
  • Prepare detailed budget, variance, and financial reports for assigned properties.
  • Monitor & approve property invoices & back-up documentation, ensure accuracy and resolve disputes/concerns as necessary.
  • Plan and direct marketing events with internal and external Marketing staff and tenants, as required.
  • Train new Assistant Property Managers, as necessary.
  • Perform property inspections for potential new business, as requested.
  • Ensure all new tenant and transitioning property lease files are complete and accurate and include current, relevant documents, including estopel certificates, amendments, and certificates of insurance.

 Qualifications:

  • College degree preferred with specialization in business administration or real estate.
  • Three to five years of shopping center/retail property management experience required.
  • Excellent negotiating skills & human relations skills required with a demonstrated ability to deal courteously and professionally with a diverse group of tenants, vendors, leasing agents, building owners, visitors & co-workers.
  • Proficient in Word, Excel, and Yardi, as well as possessing excellent oral and written communication skills.
  • Must foster a team environment among all members of the department, as well as other departments within the company, and Owners, which is necessary to manage a well-run property.
  • Basic accounting knowledge and general building construction knowledge required.
