The Communications Manager is responsible for the creation/production of branded marketing materials and communications, including web editing and email marketing. This position assists the Marketing Manager with the execution of all marketing campaigns.

Position Summary:

The Communications Manager/Managing Editor collaborates with the Marketing, Communications and Creative teams, as well as Executive, Finance, Education, Programming and Development departments to orchestrate and produce a variety of institutional and marketing materials, from conceptualization to writing, editing, proofreading and trafficking.

Primary Responsibilities:

Publications general

  • Evaluates and plans the technical content and organization of publications under the direction of the Senior Director of Communications, and by conferring with the Senior Writer, Vice President of Marketing and other senior staff as needed.
  • Contributes to the development of story or content ideas, considering Straz Center reader or audience appeal.
  • Assesses publications to organizational style, editorial policy and publishing requirements.
  • Creates backout schedules and responsibility areas for publications (CenterBillBravissimoINSIDE magazine, Rack Brochure, Full Season Brochure, Annual Report).
  • Oversees publication production, including artwork, layout, design and printing, ensuring adherence to deadlines and budget requirements, and using software platforms as needed (such as Wrike, SharePoint).
  • Edits and proofs materials for publication to verify facts, dates and statistics, using standard reference sources to improve readability’conferring with Communications, Marketing, Executive and other business units regarding changes in content, style or organization.
  • Coordinates with graphic designers, marketers and senior staff on layout and design.
  • Supervises outside ads sales agent on and coordinates ad management including rate/spec sheets, insertion orders and billing.

Publications specific

  • CenterBill  Directs the development and production of CenterBill  published 10-11 times per year’including creating backout schedules and responsibility areas.
    • Initiates contact and corresponds with agents and performers to obtain programs, bios and photos and edits all programs for consistent content, style and organization.
    • Gathers all paid and sponsorship advertising (fulfillment) insertions and artwork.
    • Formats all content and lays out the book for Creative team.
    • Confers with Vice President of Marketing and marketing team regarding placement and emphasis of editorial and ads.
    • Ghostwrites letter from the Straz Center President.
    • Edits and proofs CenterBill.
    • Executes routing of CenterBill for proper pre-print approvals including ads.
    • Assesses and edits CenterBill online printer proof and, with the designer, signs off and indicates permission to print.
    • Facilitates the distribution of CenterBill to guests working with Guest Services, Production and Maintenance teams.
    • Collects and maintains master production schedules
    • Responsible for financial expenses and revenue for publication.
  • Bravissimo Directs the development and production of Bravissimo published three to four times per year
    • same role as with CenterBill with primary communications constituencies being Opera Tampa and Production teams.
  • INSIDE magazine Coordinates publication production (three times per year)’including creating backout schedules and responsibility areas, plus artwork, layout, design, printing, processing, postage, mailing and delivery’ensuring adherence to deadlines and budget requirements.
    • Creates calendar of events, Q&A articles (Behind the Persona) and other copy as needed.
    • Arranges layout of paid ads.
    • Routes magazine for proper pre-print approvals.
    • Edits and proofs the magazine.
  • Rack brochure Strategizes content of bi-monthly rack brochure through research of ticket sales and in collaboration with other members of the Straz Center’s Marketing, Creative and Communications teams.
    • Gathers textual and artwork content, formats as needed and submits artwork request to Creative team.
    • Routes brochure for proper pre-print approvals.
    • Coordinates design with the Creative team.
    • Executes requests for mailing lists from Digital team and subsequent transfer to mailhouse.
    • Supervises outside vendor for tourism/attraction distribution.
    • Coordinates with Development and Tickets Sales Office teams for distribution and use.
    • Works with Senior Graphic Designer to obtain price quotes and scheduling deadlines with printer.
  • Season Brochure (primary project of Marketing team) and Sneak Peek brochure (primary project of Development team) under direction of the Senior Director of Communications, collaborating with Vice President of Marketing and Creative Director
    • Strategizes content in collaboration with other members of the Straz Center’s Marketing, Creative and Communications teams.
    • Gathers textual and artwork content; formats as needed.
    • Submits artwork request to Creative team.
    • Routes brochure for proper pre-print approvals.
    • Coordinates design with the Creative team.
    • Coordinates with Digital team on web content.
    • Executes requests for mailing lists from Digital team and coordinates distribution, use and inventory.
    • Works with Creative team to obtain price quotes and scheduling deadlines with printer.
  • Annual Report (primary project of Development and Finance teams) under direction of the Senior Director of Communications, Vice President of Marketing and Creative Director
    • Strategizes content.
    • Gathers textual and artwork content; format as needed.
    • Submits artwork request.
    • Routes brochure for proper pre-print approvals.
    • Executes requests for mailing lists and distribution, use and inventory.
    • Assists Creative team to obtain price quotes and scheduling deadlines with printer.
  • Creates and updates the weekly “On Hold” calendar listing for Straz Center and Patel Conservatory, coordinating with Hold on America vendor and Senior Marketers. Coordinate with IT staff and voiceover talent on phone tree scripts and telephone messaging scripts.
  • Assist with Master Plan (COO), holiday cards (Executive and other teams), Patel Conservatory brochures and programs (Education) and other Straz Center projects as assigned. Create/assist with special event publications/programs such as: Art on the Walk, Arts Legacy Remix, Broadway Ball, Opera Gala, Groups ads/brochures, community partnerships, Fourth Friday, Broadway Kickoff, Open House Party, Riverfest, Straz Live! in the Park.
  • Creates, updates and assesses Important Information and Traffic/Transportation & Parking stuffers for the Chief Operating Officer and Ticket Sales Office, including uploading to the printer and ensuring sufficient inventory for Ticket Sales Office.
  • Archives publications materials and maintains the Patel Library archive.
  • Other duties as assigned.

Other

  • Edits, proofreads, and fact-checks all marketing materials, written materials and any other communications for Executive, Development, Education, Operations and other departments on an as-needed basis.
  • Works with COO, Programming, and Creative teams on Straz artwork projects such as Performance in Sculpture: Straz and National Sculpture Society Sculpture brochures, unveiling invites, nameplates and descriptions.
  • Participates in Guest Experience Council (now Staff Experience Council) and Diversity & Inclusion teams as Publications/Marketing representative.
  • Research, develop and produce internal staff newsletter StrazNewz as deemed beneficial.
  • Participate in Meeting Planner International and American Marketing Association organizations to benefit overall Straz marketing functions.

Education and Work Experience: 

  • Bachelor’s degree in marketing or communications, or equivalent combination of education and experience.
  • Two to four years of experience working in a non-profit organization.
  • Five to seven years of publications experience and/or training.
  • One year of project management experience
