Full Job Description

Works directly with the Vice President of Operations.

Maintain vendor contact with offsite storage to include, Ordering Boxes, Scheduling Pickups, and Maintaining the to be Shred bin.

Handles incoming phone calls, walk in clients, and deliveries.

Processes incoming and outgoing mail, also scans any mail for offsite managers and emails it directly to that manager.

Documents all returned mail to keep the companies records as accurate as possible.

Process any legal summons delivered to the office either by mail or by process server.

Processes incoming and outgoing faxes.

Processes clubhouse rentals for associations members, also processes associations pool key purchases, and maintains the proper documentation for both.

Maintains association completed year end financials and processes their delivery when requested by clientele.

Keeps inventory of office supplies and orders new supplies to backfill low quantities or as the need may arise.

Maintains Marketing packages for potential clientele.

Handles scanning and copying projects. When scanning processes, the files to their appropriate location within Cloud based filing system.

Assists the administration team as needed with client mailouts, or as needed depending on the scope of the project.

Assists in tracking Homeowner and Associations Insurance policies and renewals. No underwriting involved.

Assists with operating software’s website processing. Ensuring that all documents on the site are current and complete.

Working hand in hand with the property managers to ensure Community gates are updated in a timely manner.

Also assists the property manager in Annual and Budget Meeting setups.
