ADMINISTRATIVE ASSISTANT JOB POSTING
20 hours per week
General Duties of the Administrative Assistant include:
- Providing support to our manager and employee, as needed
- Managing the Association’s general administrative activities
- Ensure the efficient and smooth day-to-day operation of our office and be familiar with office policies and procedures
Skills:
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like printers and fax machines
- Proficiency in MS Office (MS Excel and Outlook, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
Daily Responsibilities:
- Answer phone calls and emails regarding forms, general inquiries, etc. regarding the Association
- Write and distribute emails, correspondence, letters, faxes and forms
- Assist in the preparation of regularly scheduled reports
- Maintain organized unit files in the Shared Drive
- Maintain contact lists
- Act as a secondary point of contact for clients
- Update Association forms as needed
- Update parking sticker list as needed
- Order keys as needed
- Send out water submeter invoices
- Send out violation letters as directed by BOD and manager
- Have an understanding of rules and regulations of the Association
- Attend meetings with manager as needed and prepare for such
- Process applications for leases, sales and architectural improvements.
Association Websites:
- Update the website regularly with forms, financial statements, rules, minutes, owner information, etc.
- Assign work orders to the appropriate party.
- Send out email blasts per the manager’s instructions.
Job Type: Part-time
Pay: $18.00 – $20.00 per hour
Schedule:
- Monday to Friday

- Largo, FL 33771: Reliably commute or planning to relocate before starting work (Preferred)
Education:
- High school or equivalent (Preferred)
