JOB SUMMARY

The Community Association Coordinator’s primary function is to assist the Licensed Community Association Managers (LCAM) by inspecting their communities, recording violations and assisting with the final stage of the violation process. In addition to the violations, the Community Association Coordinator will be handling the ARC’s as well as the ARC committee. The Community Association Coordinator is to assist in gathering all pertinent information needed to refer violation matters and ARC’s to the Board of Directors, Violations Enforcement Committee, ARC Committee and/or the HOA attorney. Additionally, the Community Association Coordinator will communicate with homeowners over the phone and via email.

EXPERIENCE & EDUCATIONAL QUALIFICATIONS

  • Minimum of a High School diploma or GED and at least five (5) years of office work experience.
  • Previous property management experience preferred.
  • Successfully pass pre-employment drug screenings and background/reference checks.
  • Ability to work independently in a fast-paced environment.
  • Ability to coordinate/manage multiple projects at the same time.
  • Ability to interact and communicate effectively with colleagues, vendors and customers/clients of all professional levels.
  • Demonstrate leadership in maintaining high standards of professional behavior for self and staff.
  • Demonstrate organization, attention to detail, problem solving, creative, and independent thinking.
  • Demonstrate a commitment to the organizations’ philosophy of high quality, professionalism and organizational culture.

KNOWLEDGE & CRITICAL SKILLS

Must have a working knowledge of applicable company policies, procedures, state licensing standards, and must be familiar with accreditation expectations, including, but not limited to:

  • Knowledge and application of Microsoft Word and Excel is required.
  • Knowledge of Homeowner Associations desired.
  • Knowledge and application of Caliber software highly desired, but we are willing to train the right candidate.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Generate and print various reports, including violations reports, utilizing the Caliber database.
  • Have a good driving record and current driver’s license for insurance on company vehicle(s).
  • Be prepared for inspections and to take photos of violations with IPAD or camera, upload and save them to Caliber.
  • Inspect HOA communities to ensure compliance by homeowners and residents.
  • Receive, review and prepare ARC’s for committee review and approval.
  • Prepare packet for monthly ARC Committee meeting.
  • Prepare HO’s requested ARC’s for month ARC Committee meeting.
  • Send approval / denial letters to homeowners regarding ARC’s after monthly committee meeting.
  • Perform research on the internet e.g. County, State and HOA websites, etc. for ARC’s and Committees.
  • Create an inspection calendar and set all inspection dates in accordance with number of visits stipulated in HOA community contract.
  • Consistently check emails and respond accordingly.
  • Prioritize tasks based on urgency.
  • Keep clear and open communication with other staff members.
  • Keep abreast of company and HOA community policies.
  • Assist with creating or revising turnover documents.
  • Attend monthly Board and Committee meetings.
  • Ad-hoc duties include, but are not limited to, scanning, copying, mailing, filing and storing.
  • Non-essential duties include other job related duties as assigned.
