Evergreen Lifestyles Management is seeking an experienced Community Association Manager for a portfolio of communities in the Tampa/North Tampa area. Must have prior knowledge of running demanding communities. Experienced in running board meetings, understand FL Statues and fiduciary responsibilities of a busy CAM.

Primary Responsibility:

Under direction of the Board of Directors, and Evergreen Lifestyles Management, the Community Manager is responsible for the daily business operations and management direction of the Community Association required in the governing documents, any applicable state law and duties outlined in the management contract between Associations and Evergreen Lifestyles Management.

Responsibilities and Duties:

Managing a portfolio of communities with in the Tampa area. Includes oversight of service contractors and vendors. The position requires the ability to multi-task on a variety of levels with the utmost of focus and professionalism.

The Community Manager serves as an integral part of the leadership of the community, acting as advisor to the Board and volunteer committees regarding policies and procedures.

  • Maintains all association records as required by the governing documents, state law and Evergreen Lifestyles Management guidelines.
  • Ensures that all association correspondence and notices are accurate and timely.
  • Ensures that the association’s liability and damage insurance policies conform to requirements of the governing documents and applicable law.
  • Develops and implements a risk management program under the Board’s direction.
  • Develops and administers the annual operating and reserve budgets. Contracts for the Reserve Study and updates.
  • Maintains complete records of major repairs and replacements, updated warranty information and equipment inventory for tax and reserve study records.
  • Monitors performance against adopted budget, conducts monthly reviews of financial statements, and prepares a variance report for the Board.
  • Maintains necessary records for preparation of annual audits.
  • Provides professional guidance to the Board regarding their policy-making duty as fiduciaries.
  • Facilitates orientation and training of Board and committee members. Facilitates long range planning and annual goal setting.
  • Prepares meeting agendas, drafts recommendations and ensures that meeting notices and minutes are accurate and timely. Attends meetings of the Board, committees (as needed) and membership, providing professional direction and assistance as needed and ensuring that the minutes, resolutions and decisions are documented and implemented as appropriate.
  • Performs other duties as deemed appropriate or assigned. Serves as liaison between the association and other entities, including the developer and builders. This may extend to municipal departments and other community associations.
  • Oversees operation and maintenance of all association facilities, ensuring that contractors are adequately trained and equipped. Regularly inspects facilities and implements a preventive maintenance schedule.
  • Prepares bid specifications for contract work and assists the Board in qualifying and selecting contractors by ensuring that the contractors have appropriate expertise, licenses and insurance prior to being considered for any association contract.
  • Oversees the covenant enforcement and architectural design review processes in accordance with the governing documents, applicable law and Evergreen Lifestyles Management protocol. Ensures that inspections and correspondence are timely and accurate and that the notice and hearing process is followed in accordance with the documents and law.
  • Responds to all Evergreen Lifestyles Management office requirements for maintaining records, annual inventory, community goals, personnel evaluations and use of appropriate software.
  • Works with Accounting department to ensure proper documentation of contracts, invoices and other expenses in order to ensure timely payment of bills, production of monthly financial statements and year-end external audits.

Qualifications and Skills

Physical, Mental and Visual Skills :

  • Extensive knowledge of federal and state laws governing the operation of community associations.
  • Good working knowledge of the community’s governing documents and rules.
  • Excellent people skills and proven ability to maintain working relationships with residents and volunteers.
  • Superior communication and networking ability.
  • Strong speaking and writing skills, with the ability to communicate effectively on a variety of levels.
  • Strong organizational, supervisory and conflict resolution skills.
  • Computer skills in Windows environment.
  • Work is undertaken both indoors in an office environment and outdoors conducting field inspections.
  • Ability to lift and move up to 25 pounds.
  • Must be able to work longer than an eight-hour day or a forty-hour week.
  • Must be able to respond to after-hours emergencies as necessary.
