JOB SUMMARY The Bexley Community Association Coordinator’s primary function is to assist the Bexley General Manager with community inspections, recording and processing violation notices, administering the association’s ARC process, interfacing with the service area landscaping vendor, preparing work orders, and continual resident relations.
EXPERIENCE & EDUCATIONAL QUALIFICATIONS
High School Diploma or GED and a minimum of two (2) years’ experience in the field or related area.
Must have an active Florida LCAM license.
Successfully pass pre-employment screenings and background/reference checks.
Possess a valid driver’s license and reliable transportation.
Possess personal vehicle insurance with a minimum of $100,000/$300,000 liability coverage.
Ability to travel to local office markets. Travel is primarily during the business day, although some out of the area travel, overnight, and weekend work may be required.
Ability to work independently with minimal supervision.
Ability to coordinate/manage multiple projects at the same time.
Ability to interact and communicate effectively with colleagues, vendors and customers/clients of all professional levels.

KNOWLEDGE & CRITICAL SKILLS Must have a working knowledge of applicable company policies, procedures, state licensing standards, and must be familiar with accreditation expectations, including, but not limited to:
Knowledge and application of Microsoft Office, Adobe, and Windows based products.Knowledge and application of tablet/iPad.Knowledge of Community Association Management.
ESSENTIAL DUTIES & RESPONSIBILITIES Inspect individual homes within community to ensure compliance with governing documents. Take photos with tablet and upload to management software. Generate, process, and follow-up on homeowner violation notices.Processing of architectural applications, making sure all required information is obtained from homeowner and submitting information to the Architectural Review Committee. Participate in ARC meetings as needed. Generate and process ARC letters.Generate and email monthly violation and architectural reports to association Board of Directors.Meet vendors in community, participate in site walks, and generate work orders as needed. Request proposals or bids, business licenses, and insurance policies from vendors.Create an inspection calendar and set all inspection dates in accordance with number of visits stipulated in management contract, and/or as directed by General Manager.Create a community binder containing community facts such as maps, contacts, special instructions, streets names, trash days, etc.Perform research on the internet (County, State, HOA website, etc.).Consistently check emails for General Manager requests, homeowner matters, vendor proposals, etc. Keep clear and open communication with team members at all times.Communicate with and respond timely to board members, owners, land developers, attorneys, etc.Keep abreast of company and community policies.Prioritize tasks based on urgency.Other job-related duties as assigned.

WORK ENVIORNMENT This position requires working both in the community and in an office setting. While working in the community you will be 1.) driving (sitting) in your car for long periods of time, and 2.) walking medium distances throughout the community and exposed to the elements.
This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
