Job Purpose
Under direction of the Board of Directors and Evergreen Lifestyles Management, the Community Manager is responsible for the daily business operations and management direction of the Community Association required in the governing documents, any applicable state law, and outlined in the management contract with Evergreen Lifestyles Management. Includes oversight of staff and service contractors and daily interaction with community residents and volunteers. The position requires the ability to multi-task on a variety of levels with the utmost attention paid to focus and professionalism. The Community Manager serves as an integral part of the leadership of the community, acting as advisor to the Board and volunteer committees regarding policies and procedures, and creating a variety of social opportunities to promote and maintain a true sense of community.

Duties and Responsibilities

  • Oversee daily office functions ensuring that the needs and requests of the residents are dealt with in a timely and professional manner.
  • Maintain all association records as required by the governing documents, state law and Evergreen Lifestyles Management guidelines.
  • Ensure that all association correspondence and notices are accurate and timely.
  • Monitor the community newsletter to ensure consistency and appropriate tone. Contributes a regular management column and items to clarify board actions and policies. Ensures that activities, events and pertinent information are included in the newsletter.
  • Ensure that the association’s liability and damage insurance policies conform with requirements of the governing documents and applicable law.
  • Develop and implement a risk management program under the Board’s direction.
  • Develop and administer the annual operating and reserve budgets.
  • Contract for the Reserve Study and updates.
  • Maintain complete records of major repairs and replacements, updated warranty information and equipment inventory for tax and reserve study records.
  • Monitor performance against adopted budget, conduct monthly reviews of financial statements, and prepare a variance report for the Board.
  • Coordinate investments of funds in accordance with Board policies.
  • Maintain necessary records for preparation of annual audits.
  • Provide professional guidance to the Board regarding their policy-making duty as fiduciaries.
  • Facilitate orientation and training of Board and committee members.
  • Facilitate long range planning and annual goal setting.
  • Prepare meeting agendas, draft recommendations, and ensure that meeting notices and minutes are accurate and timely.
  • Attend meetings of the Board, committees (as needed) and membership, providing professional direction and assistance as needed and ensuring that the minutes, resolutions, and decisions are documented and implemented as appropriate.
  • Perform other duties as deemed appropriate or assigned.
  • Ensure that staff follows established policy and procedures, particularly safety procedures.
  • Oversee operation and maintenance of all association facilities, ensuring that contractors and staff are adequately trained and equipped.
  • Regularly inspect facilities and implements a preventive maintenance schedule.
  • Prepare bid specifications for contract work and assists the Board in qualifying and selecting contractors by ensuring that the contractors have appropriate expertise, licenses and insurance prior to being considered for any association contract.
  • Oversee the covenant enforcement and architectural design review processes in accordance with the governing documents, applicable law, and Evergreen Lifestyles Management protocol.
  • Ensure that inspections and correspondence are timely and accurate and that the notice and hearing process is followed in accordance with the documents and law.
  • Works with accounting department to ensure proper document of contracts invoices and other expenses in order to ensure timely payment of bills, production of monthly financial statements, and year-end external audits.

Minimum Qualifications

  • Minimum of three years of progressively responsible experience and growth in the community association industry or management equivalent in a related field i.e. country club, hospitality, city management or military.
  • Must have a valid driver’s license and current vehicle liability insurance.
  • Must have and maintain any required state certification or licensing.

Required Skills and Attributes

  • Extensive knowledge of federal and state laws governing the operation of community associations.
  • Good working knowledge of the community’s governing documents and rules.
  • Excellent people skills and proven ability to maintain working relations with residents and volunteers.
  • Experience and ability to recruit, develop, train, supervise and motivate staff members.
  • Superior communication and networking ability.
  • Strong speaking and writing skills, with the ability to communicate effectively on a variety of levels.
  • Strong organization, supervisory and conflict resolution skills.
  • Computer skills in Windows environment. Ability to learn and train others on TOPS software.
  • Work is undertaken both indoors in an office environment and outdoors conducting field inspections.

Preferred Qualifications

  • Proven industry expertise with three years of large-scale community management experience.

Working Conditions
Work is primarily indoors. Potential exposure to sharp and rapid equipment movement, sharp utensils, and/or exposure harmful chemicals. Driving the community and walking the property during inspections.

Physical Requirements
Good organizational and verbal skills. Ability to use logical and rational thinking to resolve issues. Ability to perform basic mathematical skills, monitors and develops subordinates, visually monitor the operation areas, write and read member communication.

Must have the ability to perform moderate physical work and may be required to lift up to 80 lbs., up to 50 lbs. frequently and up to 20 lbs. constantly. Perform activities such as bending, kneeling, crouching, climbing, reaching, standing, pushing, lifting and grasping for up to 5 hours without sitting. Ability to consistently lift, carry and load adaptive and other sports equipment that may weigh 50 or more pounds, and sustain aerobic activity for 20 consecutive minutes.

Please be advised that all work that requires the use of a ladder more than 8 ft. long must be reviewed by Evergreen Lifestyles Management’s Maintenance person. Following an assessment of the situation, a determination will be made as to whether a maintenance team member or subcontractors will perform the necessary maintenance task. No other staff member is authorized to climb to heights exceeding 8 ft. and/or perform such maintenance. In addition, personnel are prohibited from entering facility attics, walking on the roof of buildings and/or from using scaffolding.

Use the following safety precautions when using an 8 ft. ladder:

  • Correct placement of the ladder. The safest angle for a straight ladder is to ensure it is placed on-fourth the distance from the base to the point of support. “A” frame ladders naturally comply.
  • Ensure the ladder is placed on a firm level surface, and do not place the ladder near a doorway.
  • Ensure there are non-skid shoes on the ladder.
  • If using a medal ladder, be sure that it is not near electrical wires.
  • One person on a ladder at one time and ensure another staff member is holding the ladder in position.
  • Never overreach.
