The Straz Center is looking for a new Community Programs Administrator!

Position Summary: Under the direction of the Director of Community Engagement and Education Programs, this position contributes to the mission and vision of the Straz Center by supporting efforts and initiatives that build community awareness of the arts and increase opportunities that provide unique and diverse experiences for the community at large. This position serves the Community Programs staff at large and serves as an in-house contact and coordinator for Community Engagement and Education Programs. This position supports through administrative duties, data tracking and coordination of outreach programs and services including but not limited to: Community Engagement initiatives, Community Partnership Program, Opera in Schools, Day at the Straz, and Conservatory To-Go!

Primary Duties and Responsibilities:

Community Relations:

  • Works with Director of Community Engagement and Education Programs to further the mission of the Straz Center and the Patel Conservatory throughout the Tampa Bay community.
  • Help coordinate Opera in Schools program and Opera Tampa outreaches.
  • Help coordinate speakers and schedules for the Great American Teach-In, Speakers Bureau and other off-site one-off teaching/speaker requests.
  • Schedules community-based programs, partnerships, and other engagement initiatives that relate to the mission of the Straz Center and the Patel Conservatory.
  • May provide education representation, as needed, for all daytime Center activities and field trips.
  • Teaches outreach classes in area of expertise, as assigned.
  • Manages external and internal student talent requests.
  • Coordinate, track data related to the Center’s donation request program

Administrative:

  • Functions as department point of contact for incoming inquiries from community businesses, agencies, organizations, groups and schools.
  • Oversees purchasing of production supplies or costumes as needed by partner organization.
  • Assists the Director of Community Engagement and Education Programs with reporting, reserving and coordinates the distribution of tickets for Community Partners ticket program.
  • Maintains current database of community partners, their contact information and/or related information.
  • Manages the input and reporting of all statistical data for the Development department as well as assessment and evaluation for all arts education programs.
  • Assists with evaluations and data collection for the purposes of reporting community statistics.
  • Works with Straz Center Marketing department to distribute marketing materials for Day @ the Straz field trips and other outreach events.
  • Acts as Assistant Camp Director for the Patel Conservatory during the summer months.
  • Works with Education management, IT, and Development on reporting, data analysis, and recommendations for system improvements
  • Liaisons with Development by reporting specifics of community statistics.
  • Maintain Community Engagement & Programs Department content on the SharePoint platform.
  • Maintains Community Engagement & Programs Department Calendars.
  • Additional duties as requested by the Director of Community Engagement and Education Programs or the Vice President of Education.

Field Trips:

  • Represents the Education department for all daytime Center activities and field trips.
  • Oversees booking and scheduling of Day @ the Straz Field Trip inquiries.
  • Oversees reservations for all Patel Conservatory and Opera Tampa Invited dress rehearsals or student-invited performances.
  • Works with Straz Center Marketing Department to distribute marketing materials for Day @ the Straz field trips and other outreach events.

Supervisory Responsibilities:

  • This position may supervise volunteers and intern(s).

Minimum Qualifications (Knowledge, Skills, and Abilities):

  • Excellent interpersonal skills required to effectively represent the Conservatory’s priorities, agenda, policies and positions to third parties.
  • Outstanding organizational and time management skills. Must be able to adapt to changing priorities.
  • Ability to be proactive and take initiative.
  • Exceptional attention to detail while maintaining the ability to meet all established deadlines.
  • Exceptional oral and written communications skills are a must.
  • Proficiency with Microsoft Office software including Power Point and other relevant applications.
  • Ability to effectively prioritize tasks and assignments.

Education and Work Experience:

  • Bachelor’s degree in Communications, Arts Administration, Marketing or other related field required.
  • Experience with community relations and building community networks and partnerships.
  • 3 years’ experience in program coordination or in a similar position with related responsibilities preferred.
