JOB SUMMARY:

Looking for an individual who can work Friday and Saturday afternoons and all day on Sunday in an Assisted Living Facility. Under general supervision, performs a variety of duties including answer the phone professionally, taking messages and forwarding calls to the appropriate extension. Greets guests in a positive manner, monitors front door, assists with general clerical duties and provide information to residents and visitors.

Essential functions:

  • Answers incoming telephone calls in a cheerful and marketing oriented way, determines purpose of callers, and forwards calls to appropriate personnel or department.
  • Retrieves messages from voice mail and forwards to appropriate personnel.
  • Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
  • Answers general questions about the community and provides callers with address, directions, and other information and refers other specific questions to appropriate staff.
  • Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
  • Receives, sorts, and routes mail, and maintains and routes publications.
  • Distributes written communication, accepts and signs for deliveries (mail, prescriptions etc.).
  • Creates and prints fax cover sheets, memos, correspondence, reports, and other documents when necessary.
  • Performs other clerical duties as needed, such as filing, photocopying, and collating.
  • Perform other duties as assigned.

KNOWLEDGE, SKILLS, AND ABILITIES:

1. Possess experience with MS Office, including Word, Excel and Outlook

2. Is able to assist residents, including those with developmental limitation and chronically ill individuals of all ages.

3. Is tactful, pleasant, professional and friendly approach in dealing with residents, staff, volunteers, guests, and individuals within the community.

4. Must be punctual and dependable

5. Maintains a professional appearance, be organized and self-motivated.

6. Is able to maintain confidential information of residents and business matters.

EDUCATION AND EXPERIENCE:

A high school diploma or equivalent is required. At least 1 year of reception/secretarial/clerical is strongly preferred. Related education and/or experience may qualify.
