Conference Center Coordinator ( Non-Standard Hours )–(210000ZM)
MAJOR FUNCTION
Performs duties coordinating support services for events and functions to facilitate smooth and orderly activities.
This position is non-standard hours and all candidates must be able to work a rotating shift of evenings and Saturdays as needed.
MAJOR DUTIES

- Responds to all CBHC Conference Center reservation requests, manages confirmed reservations, and ensures that all reservations comply with procedures.
- Coordinates reservations and assigns appropriate meeting space to internal and external customers.
- Provides daily set-up and break down of several conference meeting rooms to include moving tables and chairs multiple times per day.
- Inspects final setup to ensure facility is event ready, assists with essential central services such as cleaning, waste disposal, and recycling.
- Answers telephones, provides information about CBHC, routes callers to appropriate resources.
- Greets guests; responds to questions and provides appropriate direction.
- Assists with Central Tampa Family Resource Center guests and functions.
- Accepts and distributes mail, packages and agency proposals.
- Creates daily conference room schedule signs and sign-in sheets for facilitators and guests.
- Supports and maintains building and conference center data collection efforts.
- Monitors security systems.
- Assists with disaster drills and actions as directed.
- Provides support services and oversight in the absence of Conference Center Manager.
- Supports facilities related requests.
KNOWLEDGE, SKILLS, & ABILITIES
- Working knowledge of the type and size of support services required to staff meetings, special events and community functions.
- Working knowledge of meeting preparation.
- Working knowledge of safety requirements for events or functions.
- Working knowledge of computer and reservation software.
- Working knowledge of audio/ visual components.
- Superior customer service skills.
- Ability to work non-standard evening, weekend and day shifts.
- Ability to communicate effectively both orally and in writing.
- Ability to lift 50 pounds.
- Ability to prioritize work.
- Ability to work effectively with others.
- Ability to deal with clients and others in stressful situations.
MINIMUM QUALIFICATIONS
- Graduation from high school or possession of a GED Certificate; and
- Two years of experience in hospitality services including handling room reservations and setting up both small meetings and large events.
- Excellent written and verbal communications and the ability to set up the physical organization of tables, chairs and AV equipment to support scheduled conference center events.
- Must possess valid driver’s license.
