(Construction) Project Administrator
An established General Contractor located in Tampa, Florida is hiring a seasoned (Construction) Project Administrator. Candidates will be self motivators who are courteous, highly organized multi-taskers with the ability to keep up in a fast-paced environment.
Position Description:The (Construction) Project Administrator is responsible for a variety of administrative and clerical duties to support daily office operations for multiple departments and projects throughout the organization.
This individual is service-oriented and understands the importance of time management; a fast learning team member who can take initiative, work independently and adapt quickly. The (Construction) Project Administrator will work closely with all members of the team to include Project Managers, Superintendents and Subcontractors.

Recognizes the importance of being a team player; adapting to project needs and helping in other areas as needed
Duties:
Keeping continual communication with all parties (Project Managers, Superintendents, Subcontractors, etc.) for the purpose of dissemination of construction related information
Project related accounting functions to include assisting with streamlining the A/P process
Onboarding/Maintenance of Subcontractor files to include Insurance compliance
Responding to inquiries from Subcontractors/Vendors
Assisting with issuing Subcontracts and Purchase Orders
Assisting with Submittals and RFI’s
Acting as initial point of contact for project specific utilities to include electricity, water, garbage, etc. and completion of account set up and/or maintenance
Assisting in the development and assembly of close out documents (as-built drawings, operating manuals, shop drawings, guarantees, warranty letters, etc.)
Assisting with the verification and timely processing of subcontractor and owner pay requisitions
Scanning and proper filing of documents
Assisting with data collection for Company Fleet (registrations, maintenance, mileage, etc.)
Maintaining office equipment/machines and coordinating supplies by conducting regular inventory checks and scheduling and complying with routine service appointments
Assisting in basic troubleshooting for office equipment to include: Desktop computers, Laptops, iPhones, iPads, etc.
Sorting and distribution of incoming mail

Required:
Minimum of (5) years Administrative experience
Minimum of (2) years within the Construction Industry
Construction Lien Law Experience
Job Costing/General Ledger knowledge
Preferred:
Experience with Procore
Experience with SharePoint (OneDrive)
