Job Summary:
The Contracts and Closing Coordinator is the central point of all paperwork throughout the sales and construction process and is the voice of Homes by WestBay for notifying the customer, lender and Title Company when a closing date has been set.

Expectations and Essential Duties:
  • Audits all sales contracts and addenda in accordance with Company policy.
  • Distributes and files all sales contracts and addenda in accordance with Company policy.
  • Tracks, collects and documents all earnest money deposits received.
  • Updates and prepares the weekly backlog and deposit reports.
  • Prepares contract addenda for any special purpose for the Sales Team in accordance with approval from Company Management.
  • Prepares all closing date correspondence between Homes by WestBay and the customer.
  • Coordinates all closings between the construction, buyer, lender and Title Company.
  • Prepares all cancellation and default correspondence as required.
  • Ensures confidentiality and controls access to sensitive information, such as Buyer loan information.
  • Tracks all pre-qualification and loan commitments for customers in the backlog.
  • Prepares appraisal comparables for all homes in backlog.
  • Reviews and approves all closing statements from the Title Company prior to the closing appointment.
  • Responds to inquiries and requests for information requiring knowledge of departmental and company policies and procedures.
  • Serves as an internal resource to administrators or staff on sales contracts and company procedures.
  • Researches information, as requested, and relays official interpretations.
  • Implements changes or enhancements to procedures to improve productivity, efficiency, and service.
  • Performs other related duties as assigned or requested.
Job Qualifications:
  • Associate’s Degree required or combination of experience/education as substitute for minimum education.
  • Minimum Experience of 2 Years.
  • Bachelor’s Degree in business, finance or related preferred.
  • Preferred Experience of 3 Years.
