Job Summary

The Coordinator position is a property group employee who reports to the General Manager, responsible for liaising with multiple sales departments and coordinating the respective sales in the center. Strong administrative and organizational skills are required to see deals from the form of a paper contract to a physical activation of mall leasing or advertising.

Responsibilities and Duties

Administrative

  • Prepare Leasing packages
  • Send out Introductory Packets
  • Submit for Background checks for Mall Retail clients
  • Specialty Leasing Tenant File Management, including required documents
  • Maintain center move in/move out calendar
  • Send Mall Retail Default Notices and communicate cureo Prepare and submit amendments for approval
  • Maintain inventory log in Salesforce and ensure no overlapping of deals

Accounting

  • Reconciliation of Billing
  • Rent Roll Verification
  • Mall Retail Accounts Receivable (specific to Specialty Leasing only)
  • Miscellaneous Charges/Billings
  • Track and send fines/late fee notices

Operational

  • Regularly walk the center to insure all Visual Merchandising standards and Operational requirements are met at all times.
  • Coordinate move in and move out schedules and requirements with new tenant and mall staff.
  • Effectively communicate with mall teams including Management, Security, Maintenance and Housekeeping
  • Adhere and ensure new set up photo documentation process
  • Liaison with external service providers/vendors, i.e. visual merchandiser, sign company, electricians, etc.
  • Attend all appropriate center meetings and share upcoming activations and retailer openings during Staff Meetings on behalf of the sales team.
  • Client Liaison for exhibits and show

Reporting

  • Salesforce data management Sales
  • Qualify incoming prospective clients, via phone or walk-in
  • Show common area, activation locations and in-line spaces to potential clients
  • Be aware and up to date on all perm leasing and marketing activity to share to prospective retailers.
  • Basic knowledge of the Specialty Leasing and Brand Ventures inventory, center sales by category and key center facts.
  • System Applications/ Discipline Knowledge
  • Salesforceo Accesspoint
  • All new systems adopted by Brand Ventures and Specialty Leasing
  • Basic understanding of the Specialty Leasing and Brand Ventures lease, tenancy and agreement documents

QUALIFICATIONS

  • Minimum of a high school education or GED equivalent. Bachelor’s degree preferred
  • One year in a coordinator capacity supporting multiple managers * Previous experience in a sales environment preferred
