GENERAL SUMMARY:
Answers and directs telephone calls. Receives visitors at establishment, determines nature of business, and directs visitors to destinations. Maintains a professional and courteous manner at all times, in all situations. May also processes A/P invoices and other general administrative accounting tasks in a timely and accurate manner.

Essential Duties and Responsibilities:

  • Answers and routes incoming calls appropriately.
  • Greets visitors and directs them to their proper destinations.
  • Maintains log of visitors.
  • Delivers mail and/or faxes; Coordinates pickup of FedEx and other outgoing packages.
  • Collects and distributes employment applications; enters applications into HRIS system.
  • Ensures that the reception area is neat and orderly at all times.

Answers basic delivery inquiries or basic questions relating to sales.
Assists drivers with obtaining directions to route stops.
Updates phone lists; may maintain voice mail system by making changes to passwords, etc.
Prepares weekly and/or monthly call logs and requests for information.
May also perform accounting administrative support functions, including:
Maintaining the Imprest checking account and petty cash.
Coding bills appropriately for payment and routing to appropriate department for approval.
Preparing and maintaining the company credit card account, including tracking new cards.
Contacting new vendors to obtain W-9 information.
Providing support to the HR and/or Administration departments as needed.
Maintaining postage machine to ensure adequate postage is available. Preparing outgoing mail to ensure proper postage.

Additional Duties and Responsibilities:

  • Assist with mass-mailing projects, including sending price lists to customers.
  • Maintains vacation and off-site schedules for all employees.
  • Maintains meeting schedules for Sales and Conference Rooms.

Performs other administrative tasks as assigned.

  • Places orders for flowers or gift baskets as needed.
  • Communicates monthly birthday announcements and orders birthday cakes.
  • Performs any additional duties as assigned by the Department Manager.

  • Able to sit for extended periods of time.

Educational/Vocational/Previous Experience Recommendations:

  • High School diploma or GED equivalency preferred.
  • Minimum of 2 years office administration/switchboard experience preferred.
  • Minimum of 1 or more years of Accounts Payable experience preferred.

Working Conditions:

  • Normal office environment.
