Full time or part time depending on skills and experience. The person will work out of their home most of the time but needs to be available during regularly scheduled times. Plan to meet at least weekly with the Executive Director and be available during work hours and also meet via teleconference (phone or Skype) with the project leaders on a regular basis.
The Coordinator is a professional position in a scientific organization. The person will provide project support and coordination to the organization’s work. This will include bookkeeping, recordkeeping, travel arrangements, reconciliation of expenses, and support to specific projects as well as general operations, including posting updates to, and helping to maintain, the websites.
The person in the position will also help manage our online magazine that will includes tasks related to adding content, maintaining archives, connecting to others via social media, managing databases and listserves, and similar tasks.
Working under the direct supervision of the Executive Director as well as the President and Vice President on large projects, this position provides necessary
organizational support and is responsible for a variety of tasks. Familiarity with academic and/or nonprofit settings is helpful.
DUTIES AND RESPONSIBILITIES:
General coordination responsibilities
Assist with the completion of filings of documents and reports for the organization
Monitor project deadlines to assure reports and activities are meeting their targets
Processing requests for payments, purchases, and file receipts accordingly
Processing incoming bills and outgoing checks
Provide assistance as needed with research for products and services
Be knowledgeable about web based updating (WordPress)
Assist with review of administrative procedures and development of systems to assure compliance by all staff
Assist with research and cost comparisons for vendors to maintain cost effectiveness and quality, including technology and computer support.
Maintain master calendar of in-house meetings.
General office duties such as typing, bookkeeping, flow of correspondence, filing, requisition of supplies, faxing, etc.
Keep notes of Board meetings and write the minutes
Book travel and hotel arrangements as needed.
Coordinate materials for meetings and training sessions and other activities of the organization
Maintain and update database as needed for fundraising and contact purposes
Assist in preparation of materials for the board of directors
Lead person in providing support of mailings or coordinating bulk mailing processes
Assist with writing, editing, and processing of grant applications
Provide meeting support as needed (e.g., scheduling conference rooms, coordinating food, logistics)
Assist in the updating of the website
Responding to staff requests for administrative support as needed
Perform other duties and responsibilities as requested with a sense of humor and team spirit
Duties specific to online magazine
• Adding content assigned by the managing editor and Editor in Chief
• Archiving Creative Commons images
• Assisting and training editors who want access to the content management system
• Posting content on social media accounts (Facebook, Twitter and Youtube) and engaging users
• Reviewing, editing and removing social media content for best practices
• Searching for and connecting to groups of interest on social media who would like our content
• Setting up and managing an account to send a weekly digest of article from TVOL
• Connecting with bloggers, journalists, and other individuals and organizations
PREFERRED QUALIFICATIONS:
General coordination
Minimum one year office administrative support experience is preferred.
Bookkeeping knowledge and experience preferred
Some college preferred.
Excellent organizational skills (oral and written) and the ability to excel at details, multi-tasking and working under pressure.
Must be skilled in the use of software programs such as MS Word, ACCESS, PowerPoint, and Excel as well as contact databases
Familiarity with Quickbooks is preferred.
Must be Internet literate
Excellent grammar and people skills
Ability to be self-directed
