Job Description
KEY RESPONSIBILITIES:
- Assist the design, content, production, and presentation of a Sponsorship Packet and pricing for clients.
- Establish and create contracts and proposals, follow up on proposals, and negotiate terms and conditions.
- Manage the process, following the confirmation of a client, by inputting the contract into internal system and collect sponsor signatures, collecting artwork and requesting production of signs, ordering credentials, electric and additional décor if needed. Send out credentials and executed agreement.
- Support accounting procedures by collecting required accounting forms related to the contract process (COI, Business Licenses and Money).
- Establish and grow relationships for prospective new sponsors through continual communication and follow up and scheduling meetings for further discussions. Communicate prospects and potential agreements with the Assistant Manager and Executive Director.
- Refine support process by maintaining the filing system, reports and correspondences relating to Fair sponsorships.
- Facilitate details on all Sponsor promotions with the Marketing Department and coordinate the implementation of sponsorship responsibilities and the annual marketing plan during the Fair.
- Build and maintain strong relationships with Fair Sponsors throughout the year.
- Ensure accuracy of Sponsorship tracking sheets and information during Fair and throughout the year.
- Facilitate the collection of proof of performance data and presentations, work on a post- Fair critique, and turn in information for reporting.
- Strengthen core processes for efficiencies, including preparing the Executive Summary for Board meetings, and meeting with various departments to fulfill sponsor benefits (includes addressing Sponsor/Partner concerns and communicating with other departments)
- Participate in the Fair’s outreach program, including public speaking, slide show presentations and networking opportunities.
- Increase public awareness of the Florida State Fairgrounds as a year round event venue.
- Work closely with the Marketing Department to establish and implement a fair-time marketing plan.
EOE/DFWP
Bachelor’s Degree from an accredited college or university. Four to six years of experience in sales/marketing and working with the public.
KNOWLEDGE, SKILLS AND ABILITIES:
- Excellent verbal and written communication skills
- Strong organizational skills including planning, budgeting, implementing and evaluating
- Good technical skills including basic computer fluency and experience with Microsoft Office products (PowerPoint, Excel, etc.)
- Intermediate Math skills
- Willingness to speak and present in public
- Knowledge of Marketing and Sales
PHYSICAL DEMANDS/WORKING CONDITIONS:
Duties are occasionally performed in an office setting. Travel to attend meetings and visit locations throughout the country may be required. Operates computer and standard office equipment, such as telephone and copier/printer. Must be able to stand, walk, sit, use hands, reach with hands and arms, talk, hear, and lift or move (more than 25 pounds). Environmental demands include occasional exposure to outdoor weather conditions and extreme temperatures (non-weather). Must be willing to work extended hours as the position requires.
