The Straz Center has begun its search for a Development Administrative Assistant, reporting to the Vice President of Development. This position supports the effective and efficient operations of the Development Department by performing comprehensive administrative duties for the Vice President of Development and gift officers. Responsibilities also include budget management and coordination of board governance activities.

Primary Responsibilities:

  • Scheduling: helps maintain calendar, schedule appointments and arrange conference calls for Vice President. Assists VP and other gift officers with scheduling and coordination of meetings and related logistics.
    • Prepares meeting notices, agendas, minutes, and related materials as needed.
    • Exercises diplomacy and communications skills in receiving visitors and calls.
    • Assists with creation of presentations and reports for Development committee, Board Governance committee, Executive committee and Board of Trustees meetings, as required.
  • Assists in maintaining current records for board governance process, including information in Tessitura, term information, demographics, evaluation, and correspondence.
  • Coordinates department mailings. Includes processing letters, coordinating delivery of printed collateral pieces, and collating items for mailings.
  • Coordinates mail collection and distribution for department; receives mail for VP
  • Maintains annual archival system of all department mass communications.
  • Provides administrative assistance as needed for cultivation and special events, such as maintaining invitation and RSVP lists, generating nametags, etc.
  • Reviews, processes and tracks all Development Department invoices and expenses. Maintains up-to-date department budget expense detail and prepares monthly reconciliation reports.
  • Creates and submits expense reports and Purchase card administration pertaining to VP.
  • Maintains accurate coding and data information in Tessitura to track Public Officials and Board of Trustees, current and past. Assists in updating donor records as needed.

Minimum Qualifications (Knowledge, Skills, and Abilities):

  • Self-motivated with strong administrative and organizational skills; must be able to prioritize work in a fast-paced, changing environment.
  • Demonstrated success maintaining accurate records and attention to detail.
  • Outstanding interpersonal skills; experience interacting with board members and volunteers.
  • Excellent communication skills, both verbal and written. Excellent telephone manner is essential.
  • Ability to work with tact and diplomacy; adept at dealing with people from different backgrounds.
  • Demonstrate a high degree of professionalism while maintaining confidentiality.
  • Strong competency with Microsoft suite of business applications, including Word, Excel, Outlook and PowerPoint.
  • Knowledge of desktop publishing and fundraising software preferred.
  • Availability to work special events and receptions (some evenings).
  • Ability to interpret a variety of instructions and work within established guidelines with little direct supervision.
  • Knowledge of fundraising preferred.

Education and Work Experience:

  • College degree preferred. Equivalent experience may be substituted.
  • Three years administrative experience involving contact with the public.
