SCOPE:

The Director Assistant is responsible for assisting the Director of Facilities/Capex in all phases of overseeing assets within the portfolio of communities, including, but not limited to, capital improvement plans, physical infrastructure needs and requirements, energy conservation and management, managing asset quality, financial objectives, facilities management, control of all personnel and resources so that the portfolio is maintained at all times in good physical condition with a stabilized fiscal operation.

RESPONSIBILITIES:

  • Vendor packet and contract preparation and management
  • Work with the attorneys and in-house legal on all contracts and agreement terms
  • Handles all vendor payment processing and resolves issues
  • Assists Director of Facilities/Capex with bids, scopes, physical property evals and project progress reviews
  • Oversight of emergency maintenance requests and response timelines
  • Manages and tracks procurement opportunities
  • Assists with energy conservation and management
  • Assists developing business plans, budgets, timelines and execution strategies for each asset
  • Assists in developing annual business plans
  • Assists in preparing updates to Senior Leadership as well as key stakeholders as needed
  • Interviewing, hiring and training administrative staff
  • Mentor, coach, and develop staff

QUALIFICATIONS:

  • Bachelor’s Degree in management, accounting, construction management, engineering or related field or 3-5 years of experience in business management, property acquisitions, property management, construction and development
  • Ability to manage multiple projects effectively and efficiently 
  • Ability to manage multiple competitive deadlines.
  • Demonstrated prior experience of managing and developing budgets
  • Developed interpersonal and relationship management building skills
  • Excellent written and verbal communication skills
  • Proficient in office productivity;
  • Proficient in MS Office
  • Facilities management or related experience helpful
  • Ability to understand and apply Fair Housing laws and local zoning and building codes
  • Travel required; must possess valid US driver’s license.

PHYSICAL REQUIREMENTS:

Frequently required to sit; Occasionally required to talk or hear; While performing the duties of this job, the noise level in the work environment is usually moderate; Occasionally required to lift up to 10 pounds.   

COMPENSATION: $45,000. – $55,000./yr. (Based on experience)
