ESSENTIAL DUTIES

  • Scanning and depositing all monies received in the local office daily
  • Collecting on all tenant maintenance or utility related chargebacks
  • Managing the renewal process in conjunction with the primary leasing agents
  • Working with leasing agents to obtain a completed file with all application documents
  • Updating completed lease packets in compliance with RMS standard when necessary
  • Communicating with the leasing team in order to schedule and confirm upcoming move-ins
  • Uploading all required documents into Appfolio
  • Performing all additional functions regarding the move-in as per Appfolio and accounting guidelines
  • Ensuring all utilities are scheduled for connection in the future resident’s name before performing a move-in
  • Addressing all city and county-based code violations
  • Accepting all notice to vacate (NTV) statements from residents and processing notices in Appfolio
  • Scheduling pre-move out inspections with residents and leasing team
  • Scheduling pre-move in inspections with leasing team
  • Scheduling monthly external inspections of rental properties with leasing team
  • Scheduling quarterly internal inspections of rental properties with tenants and leasing team
  • Identifying and communicating with residents that may withdraw their notice to vacate while balancing the profitability of the business
  • Managing property transfers in accordance with RMS guidelines
  • Processing all deposits with accounting team
  • Working with leasing team in order to process incoming applications and requests for tenancy
  • Processing, communicating, and uploading all documents pertaining to changes with HAP agreements into Appfolio
  • Monitoring and managing violations, lawsuits, or complaints with the rest of the RMS Leadership Team
  • Ensuring that the leasing team is fully supported and trained on the leasing, inspecting, logistic, and move in/out processes. This includes training, development, and on going coaching as business changes and develops
  • Convert new properties and owners that have been acquired by investment team into property management
  • Communicate regularly with owners and tenants to make sure that they’re needs and concerns are addressed while maintaining RMS’s profitability
  • Addressing any and all tax discrepancies regarding owners and their properties that we manage

COMPENSATION IS BASED ON RELEVANT EXPERIENCE

WORKING CONDITIONS

  • Primarily working in doors but there is a regular need to travel to individual properties based on a number of factors
  • May sit or stand for several hour at a time and climb up and down stairs each day
  • Must be able to travel throughout applicable market using personal vehicle

REQUIRED EDUCATION AND EXPERIENCE

  • High School Diploma or equivalent
  • Minimum of 5 years’ experience of asset and operations management
  • General knowledge of budgeting and financial analysis
  • Experience with project management, process improvement, and working with cross-functional teams

PREFERRED EDUCATION AND EXPERIENCE

  • An active Florida Real Estate License is preferred
  • Knowledge of Property Management software Appfolio preferred
  • Experience working in a fast-paced, high-growth company

REQUIRED KNOWLEDGE

  • Clerical – Knowledge of administrative and clerical procedures and systems such as managing files and records, transcription, form design, and other office procedures and terminology
  • Law and Government – Knowledge of laws, legal codes, court procedures, precedents, government regulations, executive orders, and agency rules as it pertains to property management
