The opportunity
We currently have a 2-year maximum term, full time opportunity for an experienced Divisional Assistant to join QIC’s Global Real Estate team in Sydney
You will have excellent time management and organisational skills, and a demonstrated ability to manage multiple responsibilities in a fast-paced environment. With your demonstrated initiative and proactive approach towards work, you will deliver high-quality administrative support for the General Manager – Project Delivery and the Design and Delivery team.
Other duties will include:
- Diary management support for the GM – Project Delivery, coupled with coordination with internal and external stakeholders
- Support with document creation – especially with word processing and PowerPoint presentations
- Assist the GM – Project Delivery and the Design and Delivery team with preparation for stakeholder meetings, presentations and visits
- Coordinate travel requirements end-to-end from request, through approvals, to liaising with our travel provider and scheduling itineraries whilst ensuring compliance with the QIC Travel Policy and Procedure
- Reconcile monthly expenses and corporate credit cards for the GM – Project Delivery and the Design and Delivery team.
- Maintain accurate contacts and file records on behalf of executives in QIC systems/databases including CRM
- Provide general administration support including but not limited to: answering phone calls and taking messages, printing, scanning, photocopying, binding, arranging couriers, daily mail distribution
The ideal candidate
As a strong candidate, you will have a minimum of 4 years’ experience in a similar role, working in a fast-paced corporate environment. You will be comfortable working effectively without close supervision and will maintain high-level of confidentiality.
As Divisional Assistant you will be professional and proactive in nature, with well-developed organisation and time-management skills will lead you to success. You will have worked extensively with Microsoft Office suite particularly Outlook.
