The Education Administrative Assistant reports to the Director of Education Finance and Admissions and provides administrative and clerical support to the Education Department of the Patel Conservatory.
Primary Duties and Responsibilities:
Administrative:
- Coordinates calendars and meetings and provides administrative support to the Vice President of Education and Community Engagement, Director of Education Finance and Admissions, and Technical Director and department heads as requested.
- Tracks all expenses for the Education department and reconciles them with monthly general ledger reports.
- Reviews and tracks all Education department hiring paperwork.
- Compiles and maintains weekly status reports of Conservatory month-to-date and year-to-date enrollments, tuition, and ticketing.
- Assists in the preparation of reports for the Education Committee, Executive Committee, and Board of Trustees; Duties include compiling data, copying, and assembling materials for distribution.
- Collects and enters data to assist in the preparation of statistical reports for the Education Department. Performs similar functions for the collection of assessment and evaluation data.
- Coordinates, collects, and compiles data used for maintaining the Conservatory’s Accreditation.
- Assists the VP of Education and Community Engagement and Technical Director with uploading and coding transactions in Works, compiling receipts, and completing expense reports as needed.
- Works with Education Senior Manager of Finance & Admissions, department heads, designers, and others with production budgets to coordinate the financial settlements for all Patel Conservatory productions and events. This includes:
- Tracking and coding expenses and receipts.
- Gathering invoices from other Straz Center departments.
- Assembling all settlement paperwork according to standard practices for review by the Technical Director and Director of Education Finance and Admissions.
- Coordinates volunteers from University of Tampa (UT), pairing them with a department, taking them through the orientation process and communicating with the UT representative as needed.
General:
- Coordinates departmental functions and special events and performs other duties when necessary to ensure the overall smooth operation of the department.
- Other duties as assigned.
Position Qualifications:
Minimum
- College degree preferred, but not required. Equivalent experience may be substituted.
- Two to three years of administrative and project management experience.
- Availability to work occasional nights and weekends, as required.
Special Skills/Abilities
- Proficient in Microsoft Office applications to include Outlook, Word, Excel, and PowerPoint.
- Ability to handle sensitive personal and company information appropriately.
