The Straz Center has begun its search for an Education Administrative Assistant, reporting to the Conservatory Manager of Finance and Admissions. The Education Administrative Assistant provides administrative and clerical support to the Education Department of the Patel Conservatory.

Primary Responsibilities:

  • Coordinates calendars, meetings and provides administrative support to the Vice President of Education, Conservatory Manager of Finance and Admissions and Technical Director as requested.
  • Tracks all expenses for the Education department and reconciles them with monthly general ledger reports.
  • Reviews and tracks all Education department hiring paperwork.
  • Receives and distributes incoming and outgoing mail for the department.
  • Coordinates the ordering of supplies, checks stock regularly, and organizes storage areas.
  • Maintains Education files, databases, and the Education Intranet page.
  • Assists in the preparation of reports for Education Committee, Executive Committee, and Board of Trustees; Duties include compiling data, copying, and assembling packets for distribution.
  • Records, distributes and files minutes from Education Committee and other meetings, as requested.
  • Processes daily admissions deposits, as requested.
  • May perform light research and benchmarking with similar institutions.
  • Coordinates departmental functions and special events and perform other duties when necessary to ensure the overall smooth operation of the department.

Minimum Qualifications (Knowledge, Skills, and Abilities):

  • Self-motivated with strong administrative and organizational skills, along with close attention to detail and ability to maintain accurate records.
  • Proficient in Microsoft Office applications to include Outlook, Word, Excel and PowerPoint.
  • Effective written and verbal communication skills.
  • Ability to work productively in teams and to interact professionally with a diverse group of clients and staff.
  • Ability to handle sensitive personal and company information appropriately.
  • Availability to work occasional nights and weekends.

Education and Work Experience:

  • College degree preferred, but not required. Equivalent experience may be substituted.
  • Two to three years administrative and project management experience.
