Full Job Description
The ideal candidate for this position is a team player with a willingness to learn and a can-do attitude, and high attention to detail who can provide clerical and administrative duties for education related programs, classes, and other activities. Primary responsibility is to assist members pertaining to their continuing education needs including, but not limited to, registration and check-in for classes, instructor introductions, printing, maintenance of education records and historical record keeping. This position will also assist with registration & check-in, and set-up & tear-down.
Duties and Responsibilities
- Assist members over the phone and as walk-ins with registration for professional development and continuing education credit classes and special events.
- Knowledgeable of license renewal continuing education requirements for sales associates and brokers, and able to assist members with reviewing continuing education credit records.
- Collect registration payment via credit cards, cash or checks for programs, adhering to established departmental Standard Office Procedures (SOP) for monies handling.
- After the Education Manager plans and contracts the class, the Education Coordinator is responsible for the following:
– Distributing marketing materials throughout building in key areas.
– Verifying information and posting events on GTR’s website and in the database.
– Preparing sign-in and sign-out sheets.
– Sending ‘reminders’ to attendees.
– Greeting and supporting signing–in/out process for attendees.
– Preparing room setup/teardown, including food/coffee setup/teardown, and distributing class materials for all in-person classes.
– Updating attendance in the database, and preparing all class reporting materials for processing.
– Sending class rosters to CE providers and printing completion reports when applicable.
– Preparing and submitting online surveys after event completion.
– Submitting any invoices and/or other event related expenses for payment to Manager of Programs.
– Submitting any requests for refund to Education Manager.
- Act as a CE Course Monitor for all continuing education classes.
- Assist association functions and programs as requested.
- Perform other clerical and administrative functions as assigned.
- Work assigned schedule and work flexible hours as needed.
- Must be able to readily perform occasional “custodial or housekeeping” tasks when required to ensure a quality experience for event attendees/members.
