Position Summary: Join a successful start-up title company that supports new construction business, as well as, other businesses in the sale of properties and the closing of title. The Escrow Assistant accurately processes, closes and funds real estate transactions from contract through closing. Works in a small team, multi-task environment and performs other Title responsibilities as requested by the Manager.

Position Responsibilities:

  • Provides first point of contact for incoming calls and walk-ins
  • Orders title searches and distributes to all parties
  • Orders and updates various payoffs, lien searches, surveys, estoppels and lien payoffs, as necessary per title
  • Prepares receipts for all funds
  • Clears title requirements
  • Obtain buyer and seller information for files
  • Prepares loan packages for return to lender
  • Opens files for all new orders
  • Communicates with the lender, fulfills title requests, obtains hazard insurance, and HOA information
  • Works with manager/closer in scheduling and coordinating closings times
  • Prepares copies for disbursement and closing transmittals
  • Assists Licensed Title Manager with final policy disbursement
  • Responds to client inquiries via phone or email that pertain to the title process; responds to real estate or lender inquiries regarding a pending file
  • Cancels files according to office procedure
  • Delivers FedEx packages to nearby FedEx office/drop-off box
  • Performs post closing job responsibilities:
  • Assists with pre-closing files: Ensures that all information is accurate and matches the original Purchase Contract, e.g. zip codes, property address, spelling of names, marital status of buyers, reading Surveys for encroachments, if any, etc.
  • Prepares and ships closing packages and ensures that each package is complete and includes all required signatures
  • Prepares documents for e-recording in different Counties; documents sent for recording satisfy both recording regulations and lender’s requirements
  • Prepares both Loan and Owners’ policies and performs mailings or submits policy request to appropriate underwriter
  • Prepares endorsements to policy, when applicable, and submits request to appropriate underwriter
  • Responsible for maintaining complete and accurate closing files; performs the timely warehousing and recording of all files after closing
  • Provides customer service by responding to calls and emails from lenders, buyers, attorneys, realtors, insurance companies, etc.
  • Processes the daily mail while maintaining postage log
  • Maintain office supply need/put away supplies when delivered
  • Consistently complies with regulatory requirements
  • Performs general office duties to include, but not limited to, cleaning closing rooms, empty garbage, maintaining/restocking coffee station, ensuring paper is always available in the copier machine
  • Remains current in job knowledge by participating in educational opportunities
  • Enhances organization reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments

Qualifications:

  • Minimum 2 years escrow experience required
  • Associate degree (A. A.) or equivalent from two-year college or technical school preferred; High School diploma required
  • Notary Public (required)
  • Excellent interpersonal skills
  • Excellent attention to detail and follow-through
  • Excellent oral and written communication skills
  • Excellent organizational skills in performing daily responsibilities and maintaining accurate and complete files
  • Ability to multi-task and work in a high volume, fast-pace environment and deliver with accuracy, completeness, and on time
  • Proficiency in computer skills and Microsoft Office Suite, especially Excel
  • Ability to problem solve
  • Ability to address problem issues, research, identify solutions, and communicate resolutions to clients
  • Ability to escalate more complex issues, obtain resolutions, and communicate resolutions to manager
  • Ability and willingness in complying with regulatory requirements
