Large trade association seeking dynamic entry level team player to provide clerical and administrative duties for education & event related programs, classes, mixers and other activities. Primary responsibility is to provide assistance to members pertaining to their continuing education needs including, but not limited to, registration and check-in for classes, instructor introductions, printing, maintenance of education records and historical record keeping. This position will also assist with all onsite and offsite events – planning, registration & check-in, and set-up & tear-down
Responsibilities include (but are not limited to):
- Assist members over the phone and as walk-ins with registration for classes and events
- Knowledgeable of continuing education requirements for license renewals for members, and assist members with reviewing continuing education credit records in database, if applicable, and on the Department of Business and Professional Regulation.
- Collect registration payment via credit cards, cash or checks for programs adhering to established departmental Standard Office Procedures (SOP) for monies handling
- Distribute marketing materials throughout building in key areas
- Verify information and ensure classes & events are correctly posted on Association’s website
- Prepare sign-in & sign-out sheets
- Greet and support sign–in of attendees
- Prepare room setup/tear-down, including food/coffee setup/tear-down as needed
- Monitor all CE credit classes in accordance with Florida Real Estate Commission (FREC) rules
- Send class roster to CE providers and printing completion reports when applicable
- Prepare and submit completed documentation for scanning to CE providers
- Prepare and submit online surveys after event or class completion
- Clean up room after completion of events & classes
- Submit any invoices and/or other event related expenses for payment
- Prepare the event space before each program with all necessary materials
- Inputs all new classes into our database
- Assist at Association functions and programs as requested
- Receive and process Event & education registrations and post-registrations to the computer
- Maintenance of historical data in Excel for reporting purposes
- Perform other clerical and administrative functions as assigned.
- Work assigned schedule and work flexible hours when requested and as needed.
- Perform other related duties and projects as assigned by the Education Director.
- Perform other duties assigned by Senior Association Management
- Perform occasional “custodial or housekeeping” tasks when required to ensure a quality experience for event attendees/members regardless of whether the actual task falls strictly within one’s job description
Requirements:
High school diploma or equivalent with at least 2 years of office experience
Excellent people skills and able to thrive in a fast-paced environment
Type at least 50 words per minute
Able to work evenings
Good speaking voice, pleasant and positive demeanor
Able to communicate diplomatically and courteously with members and the public
Multi-task with attention to detail
Able to lift 25 to 30 lbs
