EVENT COORDINATOR_FULL TIME PAID INTERNSHIP_THE BIRCHWOOD

The Birchwood is looking to fill a full-time position for an Event Coordinator Internship. We are looking for a creative individual with a passion for the hospitality industry, special events and a strong interest in sales. This will be a paid position with a start date in February 2018 through June 1, 2018. Training will be provided prior to February.

The Event Coordinator will be responsible for helping to manage/maintain current accounts/relationships and also grow the business by closing new corporate and social leads. This position will have a strong focus on weddings and the candidate must be detailed oriented and be comfortable managing various events.  The internship will offer a strong possibility to stay on-board with the Birchwood Team for future projects/positions.

Job Responsibilities:

  • Provide the highest quality of friendly and welcoming service to the guests/clients at all times.
  • Assists client in the selection of food and beverage menu using upselling techniques to maximize revenue.
  • Contacts client to confirm meetings dates, times, number attending, and hotel and meeting room requirements. Follows up regularly to receive updated information and obtain a guaranteed commitment.
  • Grow the business by conducting venue site tours for wedding and corporate inquiries.
  • Issue contracts and collect deposits to secure bookings.
  • Determines outside vendor service needs (i.e., entertainment, floral displays, audio visual, local tours, etc.)
  • Maintains client files for sales & catering department.
  • Completes all catering sales proposals and details each event. Responsible for obtaining payment information for all events.
  • Distributes weekly BEO packets to department heads.
  • Ensures banquets charges are correct.
  • Ensures copies of banquet checks & charges are sent to clients upon completion of events within 24 hours.
  • Communicates to respective departments to ensure delivery of service (i.e., food and beverage department for restaurant and catering arrangements, outside vendor or internal source for audio visual requirements, accounting for payment schedule).
  • Arranges and conducts pre- and post-event meetings and tastings with appropriate departments to ensure that all client needs are met.
  • Keeps existing business monitored and satisfied. Is responsible for customer satisfaction through pre- and post- evaluations with customers.
  • Inspects meeting room set-up to assure compliance with client specifications.
  • Handles all telephone calls relating to banquet and catering accounts. Return all phone messages and respond to all inquiries within 24 hours.
  • Has thorough knowledge of emergency procedures.
  • Practices safety standards at all times.
  • Facilitates effective communication with other departments.
  • Adheres to all work rules, procedures and policies established by the company, including but not limited to, those contained in the Employee Handbook.
  • Upholds the high Birchwood Standards for guest satisfaction, catering and sales.
  • Responsible for accurate use and administration of Caterease.
