Responsible to provide assistance and logistics coordination with designated administrative and corporate personnel for trade shows, corporate events, and meetings

Responsibilities

  • Assist Event Manager with the execution of all DTZ Americas meetings and events
  • Populate and maintain changes on registration portals and event websites
  • Create and execute event related communications and surveys
  • Provide proofing/editing on event deliverables
  • Travel to events and provide assistance onsite during events
  • Process and track event related invoices
  • Document and track key event deadlines
  • Collect local event best practices on a quarterly basis
  • Track and aggregate local and national events and sponsorships
  • Manage corporate events calendar
  • Maintain updated internal events website
  • Manage trade show booths, materials, etc., for local offices use
  • Schedule meetings for events teams, vendors and internal executive sponsors to include:
    • Prepare agendas and take notes for meetings/events
    • Maintain promotional products to ensure corporate brand is maintained
    • Complete post event follow up to include:  meeting/event recap, surveys, review of invoices, expense allocations, and processing of payments

Requirements

  • Bachelor Degree
  • Minimum of 1+ year of meeting/event planning experience preferred
  • Or any similar combination of education and experience
  • Some overnight travel required
  • Demonstrated proficiency with Microsoft Office Suite and working knowledge of Adobe Creative Suite
  • Excellent organizational and project management skills
  • Proven record of providing excellent internal and external customer service
  • Excellent oral and written communication skills
  • Ability to set priorities and meet deadlines
  • Excellent interpersonal skills
  • The qualified candidate will be detail oriented, able to handle multiple projects simultaneously, extremely professional, and customer service oriented

Physical Requirements

  • Involves work of a general office nature; typically includes extended periods of sitting and/or operation of a computer for up to 8 hours a day
  • Regularly required to talk, hear, and use hands and fingers to write and type
  • Ability to speak clearly so others can understand you
  • Ability to read and understand information and ideas presented orally and in writing
  • Ability to communicate information and ideas in writing and orally so others will understand
  • Regularly required to utilize vision abilities, allowing reading of printed material, graphics, and computer displays
