SOFWERX Events and Meetings Manager
SOFWERX was established under a Partnership Intermediary Agreement (PIA) between the United States Special Operations Command (USSOCOM) and DEFENSEWERX (DWX). SOFWERX is a platform designed and operated to increase collaboration and innovation as well as explore, experiment, and assess promising technology for USSOCOM. Its growing ecosystem includes both traditional and non-traditional problem-solvers with a focus on new, novel, and provocative capabilities.
Role:
Serve as the SOFWERX Events and Meetings Manager, in Tampa, Florida. The Events and Meetings Manager will oversee planning through execution of all approved SOFWERX events and meetings. Manage the expectations of, and coordinate directly with, stakeholders, academia, national labs, industry, and other strategic partners in the region to ensure SOFWERX events and activities remain effective for USSOCOM. Supervise Event Coordinators, Administrative Assistant, and Event Intern(s). Implement and monitor staff and intern performance goals and provide mentorship while promoting a safe and innovative culture. Report to the SOFWERX Deputy Director, in Tampa, FL.
Responsibilities:
- Develop and implement the procedures & processes necessary to enable the support for live, virtual, and/or hybrid events and meetings.
- Manage subordinate staff and daily performance of their jobs (i.e., targeted invites, event information, venue information, timelines, and any pertinent details).
- Train and supervise subordinate staff in the use of various technology/tools used by SOFWERX and Event Management Team.
- Coordinate with SOFWERX Marketing Manager on event releases, paid promotions on social media platforms, and other outreach methods across other ecosystems.
- Coordinate with SOFWERX Marketing Manager for synchronization with USSOCOM PAO for upcoming events.
- Monitor and control event budgets and prepare periodic management reports.
- Supervise and coordinate with SOFWERX Administrative Assistant for Front of House operations, meeting requests, and USSOCOM Acquisition Agility (AA) Team involvement in meetings, tours, and VIP visits.
- Coordinate with SOFWERX Administrative Assistant for event logistics (conference rooms, parking, etc.)
- Respond to queries and requests for information from the USSOCOM Acquisition Agility (AA) Team regarding all events.
- Provide oversight of SOFWERX event communications with stakeholders to ensure successful event preparation, execution, and desired outcomes.
- Oversee development of event webpages, timelines, execution checklists, and post-event deliverables.
- Manage and monitor the ecosystem databases.
- Attend select local, regional, and national conferences to support tech scouting and expand the SOFWERX ecosystem.
- Lead Event Management Team and Intern(s) to ensure efficiency and effectiveness.
- Enforce policies, processes, and procedures and make recommended improvements as necessary.
- Oversee and adhere to SOFWERX swag policy and procedures to accurately track funding, purchases, and expenditures.
- Ensure the SOFWERX intent-based leadership vision and goals are effectively implemented throughout the events and meetings team.
- Provide personal and professional growth opportunities through empowerment of staff, individual feedback, performance evaluations, and coaching.
- Provide overall performance (budget, event, resourcing, and customer feedback) reporting and oversight to SOFWERX Director & Deputy Director.
- Make timely decisions at the appropriate level and promptly advise the SOFWERX Directors of those decisions or actions required at his/her level.
Qualifications:
- Must be able to obtain a DoD Security Clearance.
- Must have 3 or more years of leadership or management experience of team(s).
- Must have bachelor’s degree: Prefer Event Management, Event Planning, and/or Communication.
- Excellent planning and organizational skills.
- Well-developed interpersonal, communication, and conflict resolution skills.
- Must be willing and able to lead in a dynamic, rapidly changing environment.
- Efficient time-management skills; ability to multitask and take initiative.
- Attention to detail with above average proofreading skills.
- Experience using Adobe Creative Cloud applications (InDesign, Photoshop, Illustrator, Acrobat, Dreamweaver, Lightroom), WordPress, and HubSpot.
- Must be comfortable with leading and facilitating groups.
- Availability to work some weekends/evenings (event driven).
- Ability to lift ~35 lbs.
