Living Bloom Beauty has an exciting opportunity for the right candidate to become an Executive Assistant to the Founder and work in a fast-paced environment; filled with entrepreneurial drive. As the Executive Assistant you will be in a support role for sales and marketing for an energetic entrepreneur based in Clearwater. The candidate must be a detail oriented, adaptable self-starter who can multi-task and keep up with the fast-paced workload. Candidate must have successful experience working for Senior Level Executives, and must provide a minimum of two business references at the time of the interview. Although the job description has been outlined, this position is in no way limited to these responsibilities. An Assistant must be flexible in duties.

EXECUTIVE AFFAIRS

  • Draft written communication on the Executive’s behalf from dictation. Attention to detail is a must in all communication.
  • Schedule appointments, business and personal. Effectively manage Executive’s calendar for maximum efficiency.
  • Schedule all business and personal travel private and commercial.
  • Handle all medical scheduling for the Executive and file/track all medical insurance claims/reimbursements. Includes ordering and tracking all prescriptions.
  • Coordinate all vehicle maintenance and repair, including pick up and drop off.
  • Run personal errands at request and attend meetings in person and via video conference as needed.
  • Over see maintenance for multiple homes.
  • Manage operation of all home computer and audio/visual equipment, and address occasional home maintenance needs.

BOOKKEEPING

  • Bank and credit card reconciliations.
  • Accounts Payable and Accounts Receivable.
  • Cash management.
  • Prepare monthly financial reports.
  • Prepare other financial reports and analysis as needed.

ADMINISTRATION

  • Perform support functions including all phone coverage for Executive Office, receiving and mailing packages and regular mail.
  • Oversee hospitality functions for the Executive as needed.
  • Manage computer resources for Executive. Act as the primary contact with all systems support related interaction for Executive.
  • Manage all data entry in Executive’s contact databases.
  • Manage off-site filing system as needed.

Job Type: Full Time

$45-$50k

Experience:

  • executive assistance: 3 years (Preferred)
  • accounting: 2 years (Preferred)

This Job Is:

  • 50-70% work remotely
