Job Description
Job Summary:
This position requires an individual who can effectively manage two areas of our business: executive support to the CEO and Executive Leadership Team (ELT) and the day to day operations of our office facilities in Tampa. This is a highly visible role and will require the ability to multi-task, maintain confidential information, and work collaboratively across multiple teams and locations. This position reports to our People & Culture Business Partner. Our ideal candidate for this role will be as effective behind the scenes maintaining organization for our ELT and keeping the office running smoothly, as they are centerstage, acting as an agent for creating a positive culture.

Essential Functions: In addition to working in accordance with appropriate conduct and behavioral standards, specific responsibilities of this role include:
Executive Support:
- Manage CEO’s and CFO’s daily calendar: gatekeeping, optimizing, and prioritizing
- Coordinate travel and arrange meetings for CEO, CFO and other ELT members on a regular basis, using exceptional organization skills and attention to detail
- Coordinate quarterly board meetings including logistics with the board, travel, and board books and presentations
- Assist in preparation of expense reports for CEO, CFO and other ELT members
- Facilitate ELT Team Meetings and Client Meetings
- Work with Sr. Director of People & Culture, ELT, and Board on processing confidential paperwork, as needed
- Maintain a meticulous and organized Executive Area and ensure CEO and CFO have required technology and supplies at all times
- Work with the Talent Acquisition Team on any confidential or executive-level searches
- Support the People & Culture team with tasks and projects, as needed
- Work under the direction of our People & Culture Business Partner on various projects, as needed
Office Management:
- Enhance the office experience from a logistics as well as an environment/culture perspective – make sure it’s a great place for the team and external visitors
- Coordinate improvements and take pride in general appearance of office, which can include office expansion and upgrades, team shuffles, and moves.
- Manage and maintain office operations and facility requirements, working with property management on space planning and lease renewals/changes.
- Assist in developing company culture, including collaborating on planning and executing in house or offsite activities like events, celebrations, team building activities. Be a liaison to our team members, helping us continue creating a world class culture
- Act as point of contact for building management and vendors as it relates to facilities.
- Responsible for the contracting and maintenance of support equipment (printer, AV, etc.)
- Evaluate and provide accommodation of employee workspaces as required.
- Handle purchase orders, payables, budgets, expense reports, and vendor management.
- Cover the main front desk reception area: greet guests, answers phones, manage employee badging, accept packages and deliveries, etc.

- Top notch verbal and written communication
- Strong Project Management skills. Must be skilled in driving projects to the finish line.
- Power Point skills, and comfortable with excel
- Ability to triage and prioritize, able to exercise great judgement
- Ability to think on both a short-term and long-term scale
- Not afraid to roll up sleeves and help the team
- Prior experience supporting the C Level. Experience assisting multiple people at once preferred.
