Executive Administrative Assistant
Why should you join our team?
We are looking for an energetic and results-driven Executive Administrative Assistant to support our Chief Executive Officer. The Executive Administrative Assistant performs a variety of administrative tasks and is responsible for providing proactive support to the CEO and other operations leaders. Independent and sound business judgement is required to plan, prioritize, and organize a diversified workload in a fast-paced environment.
Responsibilities
1. Manage sensitive matters with a high level of confidentiality and discretion, especially decisions directly impacting the operations of the company.
2. Proactively organize complex calendars and schedules and resolve scheduling issues incorporating multiple time zones.
3. Manage travel logistics.
4. Coordinate meetings (live and virtual), both on-site and off-site, including scheduling, correspondence, site reservations, preparing materials, and arranging travel accommodations and catering.
5. Prepare professional, high-quality Word, Excel, PowerPoint presentations, agendas, reports, special projects, and other documents.
6. Acts as liaison between the CEO, their team and others by communicating directives, instructions, and assignments. Follows-up on the status of outstanding assignments and projects.
7. Conserve CEO’s time by reading, researching, collecting, and analyzing information as needed, in advance.
8. Be responsive to emails/texts/phone calls.
9. Act as an office manager by keeping up with office supply inventory and other facility-related tasks.
10. Manage and submit expense reports.
11. Other duties and special projects as assigned
Qualifications
- Bachelor’s degree preferred
- Proficiency using MS Office365 and TEAMS required
- Experience using SmartSheet, a plus
- Excellent time management skills and proven ability to meet deadlines
- Ability to function well in a high-paced environment
- Strong business sense and ability to prioritize and make sound judgment calls
- Excellent communicator; able to interact with people of all levels in a confident, professional manner.
- Service focus; dedicated to meeting the expectations of the CEO and other senior executives by maintaining effective relationships

Pay: $60,000.00 – $80,000.00 per month

Education:
- Bachelor’s (Preferred)
