Full Job Description
The Office of Catholic Schools and Centers (OCSC) of the Diocese of St. Petersburg has an immediate opening for an Administrative Assistant. The administrative assistant must be a quick professional with great time-management and multitasking abilities. Their diligence and competence enable the superintendent and associate superintendents to focus on their leadership and managerial responsibilities and contribute to the efficiency of the office and the schools they serve.
The OCSC administrative assistant reports to the Superintendent of Catholic Schools and Centers. S/he performs a wide variety of administrative tasks including but not limited to the following:
- Receiving, screening, and documenting phone calls and redirecting them when appropriate
- Assisting with highly confidential situations and ensuring that documents remain secure
- Assisting in planning appointments, administrators’ meetings, board meetings, conferences etc.
- Attending meetings and keep minutes
- Tracking invoices and billing for interoffice and interschool expenses
- Editing and sending the office’s weekly update
- Gathering school data and preparing reports
- Updating the OCSC website when appropriate
- Coordinating the Diocesan Tuition Assistance program
- Maintaining electronic and paper records ensuring information is organized and easily accessible
- Working collaboratively with OCSC, Diocesan, and school personnel
Job Requirements
- Understanding and respect for the Catholic faith and diocesan structures
- Proven experience as an administrative assistant or similar administrative role
- Proficiency in MS Office and ability to quickly learn additional software and programs (i.e. FACTS, Constant Contact, Google forms, etc.)
- In-depth knowledge of office management and basic accounting procedures
- Familiarity with basic research methods and reporting techniques
- Excellent organizational and time-management skills
- Outstanding communication and negotiation abilities
- Integrity and confidentiality
- Degree in business administration or related field

The candidate must successfully pass a Level II FBI background screening and complete Safe Environment Training.
