Administrative Assistant

Home Performance Alliance is looking for an Executive Administrative Assistant to join our team in our Saint Petersburg, Florida office. We are seeking a highly motivated individual to support the President of Home Performance Alliance. As an Executive Administrative Assistant at HPA, you will be required to demonstrate initiative and independent thinking. You will need to be an effective communicator, both verbally and with written correspondence, possess the ability to complete complex tasks and projects quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action without having to know the total picture in order to accomplish any project coming your way. It is expected to be responsive and operate with a heightened sense of urgency, while remaining calm and organized when dealing with multiple competing priorities.

Responsibilities:

  • Provide direct support to the President of the company.
  • Reviews drafts and finished documents for appropriate grammatical usage; answers questions relating to office operations and established policies and procedures.
  • Create and maintain sales reports reflecting daily, weekly, monthly, and YTD numbers.
  • Performs office functions, including (but not limited to): setting up and maintaining files; arranging meetings and conferences; maintaining supplies; managing Outlook calendars; arranging lunches, hotel, and travel for new direct sales team members.
  • Communicates with internal and external customers and executives, professionally representing the corporation and organization.
  • Follow directions thoroughly and maintains confidentiality of any company sensitive information. Act with a high level of integrity and discretion in handling confidential information, and professionalism in dealing with senior professionals inside and outside the company.
  • Collaborates with Human Resources and other administrative professionals as needed.
  • Demonstrates a wide and comprehensive acquaintance with, and understanding of, both general and specific aspects of the job and their practical application to complex problems and situations ordinarily encountered.
  • Operates independently to meet requirements of leadership team and offer expertise to assist other functions within organization.
  • Assists events and activities employee engagement and organization initiatives.

Basic Qualifications:

  • 5+ years of related experience
  • Ability to work in a fast-paced environment with minimal supervision while exercising good judgment, demonstrating flexibility and agility, prioritizing multiple tasks with competing deadlines, managing schedule conflicts, and providing excellent follow through.
  • Ability to multitask changing from one project to another seamlessly and adapt quickly
  • Outstanding interpersonal skills, both verbal and written
  • Excellent prioritization and organizational skills
  • Tech savvy – proficient with Microsoft office suite (Word, PowerPoint, Excel, Outlook), Microsoft Teams, and Zoom

Preferred Qualifications:

  • Associate’s Degree, Bachelor’s preferred, with 10+ years of related experience
  • Experience working in 360.
  • Pro-active mindset, self-motivated, well organized and detail oriented. Ability to work with all levels of management and their assistants. Ability to prioritize and adjust tasks to accomplish the project result
