Job Title: Executive Administrative Assistant

Overview:
The executive administrative assistant will provide support and assistance for the staff of a small non-profit and be involved with the day-to-day operations of the office. Full-time position. 40 hours per week.

Duties and responsibilities:

  • Provide office support for all staff.
  • Monitor, respond to and distribute incoming communications.
  • Answer and manage incoming calls.
  • Receive and interact with incoming visitors.
  • Interact with external clients and volunteers.
  • Co-ordinate project-based work.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Enter data in Excel for statistical reporting.
  • Calendar appointments.
  • Copy, scan, and file.
  • Manage office supplies.
  • Enter data and run reports in QuickBooks.
  • Interact with phone, computer, and copy machine vendors.
  • Conduct research, assemble and analyze data to prepare reports and documents.
  • Arrange and manage logistics for meetings, programs, and development activities.
  • Assist with organizing and setting up events.
  • Other duties as assigned.
  • Report to the agency Director.

Background and Experience:

  • Minimum of 5-years’ executive administrative assistant experience required.
  • Proficiency in using common office computer applications such as word processors, spreadsheets, databases, email, and internet is required.
  • Proficient in using QuickBooks.
  • Proven track record of attention to detail and ability to work well with people.
  • Good follow through, able to multi-task, and an aptitude for working with a team.
  • An associate’s degree, or equivalent, is required.
  • Working knowledge of social media platforms desirable, not required.
  • Working knowledge of eTapestry software desirable, not required.

Job Type: Full-time

Salary: $16.00 to $19.00 /hour
