In this role, you’ll report to the Chief Operating Officer, and you will play a pivotal role in ensuring the smooth and efficient operation of our executive team with a focus on supporting the team’s leader.
A day in life includes providing comprehensive administrative support, managing schedules, and handling confidential information with discretion. Your ability to anticipate the needs of our executives and proactively address them will be crucial to your success in this role. You will also oversee internal company meetings and plan strategic customer events such as our customer advisory board meetings.
About the Role:
Core duties and responsibilities include the following. Other duties may be assigned.
- Manage and maintain calendars, appointments, and meetings.
- Coordinate all company travel arrangements, flights, accommodations, and itineraries.
- Prepare and edit executive-level documents, reports, and presentations.
- Screen and manage phone calls, emails, and correspondence, promptly addressing and redirecting inquiries as appropriate.
- Anticipate priorities, handle requests and inquiries, and proactively address potential challenges, proposing solutions to streamline operations.
- Act as a liaison between executives and internal/external stakeholders.
- Attend meetings alongside executives, take minutes, and follow up on action items, contributing to the smooth flow of executive-level discussions.
- Assist with project management tasks ensuring effective execution of key initiatives and special projects.
- Manage executive budgets, contributing to fiscal responsibility within the executive office.
- Ensure consistent and efficient interaction with other executive assistants across the organization and handle confidential information with the utmost discretion.
Work Schedule/Environment:
- This can be a work-from-home-based role in any of the following states: Florida, Georgia, North Carolina, New York, Massachusetts, Texas, Tennessee, and Washington.
- We offer a flexible work schedule.
- Employees can also work from our Tampa, FL, Office if they wish.
Job Requirements:
- Bachelor of Science Degree in Business or related field
- Three plus years of related experience; or equivalent combination of education and experience.
- Proven experience as an executive assistant or similar role.
- Exceptional organizational and time management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite and other relevant software.
- Ability to work independently and take initiative.
- High level of professionalism and confidentiality.
- Excellent problem-solving skills.
- Flexibility and adaptability to changing priorities
