All Trades is a full-service building rehabilitation/restoration company, self-performing multiple trades including all aspects of historic masonry restoration, architectural metal works, custom carpentry, painting, concrete, flat and sloped roofing, & more. All Trades is passionate about the preservation, restoration, and rehabilitation of our country’s great historic buildings to the highest standard possible.

All Trades is currently seeking an exceptionally organized and self-directed Executive Assistant who is dependable, flexible, and can conduct themselves in a professional manner working with a high level of confidentiality and integrity. The ideal candidate will successfully prioritize and complete ever-changing tasks involving coordination between accounting staff, project managers, vendors, subcontractors, our crew, and our clients.

Responsibilities:
* Assist with recruitment, security clearance, and onboarding of All Trades employment candidates

* Attend, participate, and assist with minutes in project meetings as requested; Compose memos, transcribe notes, and research and create presentations

* Assist with distribution of contractor record drawings, change orders, etc. related to construction installations; Call on potential subcontractors/vendors for quotes and forward project information for review; Assist with other construction administration initiatives as requested

* Generate reports, handle multiple projects, and prepare and monitor invoices and expense reports as well as correspondence, drafts, forms, and other necessary project documents

* May assist with administrative processes of submittals and RFIs (specification) work and construction administration for projects with minimal supervisory direction

* Support management staff in assigned projects

Will perform typical admin duties as assigned which can include but are not limited to:

* Answer incoming calls in a professional and courteous manner; Direct phone inquiries to the appropriate staff member; Reply to general information requests with accurate information; Greet visitors to the organization in a professional and friendly manner

* Perform general administrative duties (e.g. photocopying, faxing, mailing, and filing); Sort incoming mail, faxes, and deliveries for distribution; Prepare and send outgoing faxes, mail, and packages

* Act as expense report reconciler for outside crew and other employees as appropriate

* Coordinate conference room reservations and in-house meetings including necessary equipment setup and food/beverage accommodations; Coordinate or organize all office training, meetings and events

*Requirements:
** Excellent verbal and written communication skills

* Willingness to undergo a background check & drugscreen

* Strong Microsoft Office experience; Proficient in using personal computer and software to develop spreadsheets, data bases and word processing documents; Willingness to take assessment skill tests which may include, but not limited to Excel, Word, PowerPoint, Office365, Dropbox, Assist owner with estimates using Premier Contractors Quick Books

* Prioritize, plan and organize standard administrative work to accomplish support to office/team with limited managerial input required; Provide solution and request approval, as needed. Work with minimal direction and perform office functions and make decisions at a local level with no direct supervision

* Strong planning and analytical skills

* Construction familiarity is helpful and candidates with this background evidenced will be given preference in job placement
