JOB PURPOSE:

The Administrative Assistant/Event Planner’s job is three-fold. Organizing and coordinating company events, assisting the CEO as needed (as well as other Lemongrass Leadership), and managing the front office, are the key roles of this position.

The Administrative Assistant/Event Coordinator assists Lemongrass leadership and all visitors to the company by handling office tasks, providing polite and professional assistance via phone, mail, and e-mail, making reservations or travel arrangements, and generally being a helpful and positive presence in the workplace. The Event Coordinator/Administrative Assistant will also plan and coordinate all corporate events such as annual conferences, retreats and spa incentive trips.

The Event Coordinator/Administrative Assistant must be attentive while also being accurate. This position should always be prepared and responsive, willing to meet each challenge directly. The Event Coordinator/Administrative Assistant must be comfortable with computers, general office tasks, and excel at both verbal and written communication. Most importantly, the Event Coordinator/Administrative Assistant must have a genuine desire to meet the needs of others.

Continuous improvement is a key aspect of this role.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
· Complete a broad variety of administrative tasks for the President & CEO including: managing an extremely active calendar of appointments; composing and preparing correspondence, and assisting with public relations

· Plan, coordinate and ensure the CEO’s schedule is followed and respected. Provide “gatekeeper” role, creating win-win situations for direct access to the CEO’s time and office

· Prioritize conflicting needs; handle matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures

  • Arrange travel for company personnel as well as consultants attending retreats and other trips
  • Assume the lead role in all meeting and event planning (spa destination, annual conference, leader retreat, etc), and manage all aspects of events from pre-planning, determining resource needs, on-site coordination, delegating tasks to staff, and post event follow up
  • Coordinate company events, including staff parties and “Giving Back” campaigns
  • Distribute all promotional awards and gifts for consultants
  • Maintain and create logo apparel and items on the VistaPrint online Lemongrass ProShop
  • Oversee front office, greeting guests, maintaining equipment, and answering phones
  • Other duties as assigned by company leadership

QUALIFICATION REQUIREMENTS:

  • Bachelor’s degree, preferably in Hospitality Management, Marketing, or Business, Communications or commensurate experience
  • 3 years’ experience planning and executing events of varying sizes
  • Ability to manage external vendor resources and relationships
  • Demonstrated project management skills
  • Excellent written and oral communication skills
  • Ability to multi-task and adapt to changing priorities and duties
  • Strong Microsoft Office skills

· Prior administrative and event planning experience

· Attention to detail and strong organizational skills

· Desire to be proactive and create a positive experience for others

· Ability to effectively communicate and meet deadlines
