We are looking for someone who can multi-task and prioritize and will be able to anticipate the executive’s administrative needs and determine necessary resources to fulfill them by exercising independent judgment, great problem solving and advanced reasoning skills. A wide degree of autonomy is expected. 

  1. The person in this role will be entrusted with very sensitive information; a high level of confidentiality is a must.
  2. Ability to communicate effectively and succinctly, both verbally and on paper, and with all levels of an organization is very important.
  3. To be successful at MHK, you must be proactive in developing relationships across the company and flexible to be able to work often under time constraints.
  4. Minimum work experience we are looking for is 8+ years supporting a senior level executive.

RESPONSIBILITIES

DELIVERABLES:

  • Act as right-hand to President, providing direct administrative and personal support.
  • Works collaboratively with administrative staff across multiple businesses within Hearst.
  • Research, coordinate, and selects all details for executive meetings to include negotiating price, conducting site visits to ensure quality, and working with location personnel to coordinate housing and food/beverage for events. 
  • Must be able to coordinate virtual events such as company wide town hall meetings through technology systems such as zoom, WebEx and teams. 
  • Oversight of Tampa office including mail, shipping, supplies, office maintenance and upkeep.  First point of contact with building management.  Coordination of outside visitors and clients. 
  • Manage and maintain an extremely busy schedule/calendar, making last minute adjustments when required, including booking, and rescheduling multiple meetings across different time zones.
  • Coordinate travel arrangements and creating detailed itineraries.
  • Act as first point of contact and gatekeeper, answering inquiries and handling correspondence.
  • Process monthly expenses in a timely and accurate manner.
  • Monitor Presidents’ incoming email, flagging messages requiring immediate attention or action and proactively responding or delegating when appropriate.
  • Assist in facilitating relationships with vendors, customers and other parties.
  • Track meeting follow-ups and deliverables.
  • Take notes and prepare agenda for Executive Leadership Team meeting.    
  • Prepare briefs and research for meetings.
  • Provide support for special projects as needed.
  • Collect and prepare information and presentation materials for use in discussions/meetings of executive staff and outside individuals.
  • Proofread communication sent by, and on behalf of the President.

Personal Assistant duties include but are not limited to: booking of personal appointments and dinner reservations, paying bills, and other similar activities as requested.

QUALIFICATIONS

EXPERIENCE AND KNOWLEDGE:

  • Bachelor’s degree required.
  • Minimum 8 years related work experience required and 1-3 years supervisory/management experience preferred.
  • Advanced skills with Microsoft applications which may include Outlook, Word, Excel, PowerPoint or Access and other web-based applications. May produce complex documents, perform analysis and maintain databases.
  • Extremely detail oriented, strong ability to multi-task and prioritize, acute focus on providing top-tier service.
  • Experienced in project management and ability to handle multiple projects and tasks with frequently shifting priorities.
  • This position is onsite and will work five days a week in the office. 
  • Vaccine requirements.
