Position:
We are seeking an Executive Assistant and Operations Coordinator to join our Orlando or Clearwater office. The successful candidate will be responsible providing administrative support for the Managing Director (MD), in the day-to-day operations of Colliers International Real Estate Management Services Florida.
Summary of Essential Job Functions:
- Typing of general and legal correspondence.
- Maintain MD’s Outlook Calendar and Contacts.
- Make all travel arrangements for MD
- Partner with area/regional lead to track all New Business Development/Proposals/Management Agreements out to client for execution.
- Create reports for MD on all business development for bi-weekly sales calls.
- Assist in creating Year End Presentation to Executive Committee.
- Assist Property Management Staff as needed.
- Work closely with Regional Directors, Senior Property Managers and Project & Facilities Director to ensure that all programs and
- policies are implemented to Real Estate Management Group.
- Assist Policy and Procedure task force in the maintenance and implementation of best practices for the Colliers Florida Real Estate
- Management Services (REMS) Department.
- Assist with maintenance of Colliers local Portal.
- Organize monthly Florida REMS Leadership meetings.
- Organize monthly Sustainability Practice Group meetings.
- Support MD in his role as Chair of Colliers Broker Sustainability Practice Group
- Responsible for the creation of proposals and marketing materials for REMS Florida utilizing Microsoft Suite and InDesign
- Prepare and assist in review process of all Management Agreements/Amendments for delivery to client for REMS Department.
- Update Emergency and Hurricane Preparedness documents to maintain accuracy.
- Collect and analyze tenant surveys and report findings to MD, Regional Director/Sr. Portfolio Manager.
- Work closely with local and national REMS team reporting on new wins, new business opportunities, & client contact with MD
- Assist with special projects as assigned.
- Partner with, create and maintain PowerPoint presentations for MD meetings and events
- Assist MD, Regional Director/ Sr. Portfolio Manager as requested.
- Maintain data base of property list by type and market, client contact information, leasing and Property Manager assigned, square
- footage (etc.). (MATRIX) utilizing excel
- Collect, organize, maintain and report data on MATRIX as requested
- Track key dates of expiration for management agreements/listing agreements and advise MD, Sr. Portfolio Manager/Regional Director.
- Compliance with Energy Star, Sustainability Program, Preferred Provider Program, Quality Assurance Program, Disaster Program, and
- Customer Service/Tenant Retention Program.
- Adhere to the policies set forth in the Policy and Procedure manual.
- Understand and uphold confidentiality
- Partner with MD on Client relationships to maintain and develop business
- Other duties as assigned .
Requirements:
- High school graduate.
- Must excel in telephone and business etiquette.
- Must possess strong communication skills, computer skills and be proficient in Windows, Word, Excel, Adobe, InDesign and PowerPoint.
