Full Job Description

The executive assistant provides high-level administrative support to company executives by conducting research, preparing financial reports, handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling travel. The position reports directly to the CEO.

Position deals with a diverse group of important external clients and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize a diverse workload. You should be a positive person that is self-motivated to tackle the challenges of a complex workload.

Essential Functions

  • Type reports, memos, letters and other documents using Microsoft Office Suite software.
  • Examine records and prepare financial reports, make local bank deposits, and assist with a variety of financial tasks as directed by the CEO.
  • Read and analyze incoming memos, submissions and reports to determine their significance and plan their distribution.
  • Perform general office duties such as ordering supplies and maintaining records management database systems.
  • File and retrieve corporate documents, records and reports.
  • Sort and distribute incoming correspondence.
  • Make travel arrangements for executives and other company agents as directed.

Required Education and Experience

  • Bachelor’s Degree, open to any study concentration.
  • Advanced experience with preparing financial reports, basic accounting, and demonstrated experience assisting Executive-level staff.
  • Advanced knowledge of Microsoft Office Suite
  • Recent college graduates are encouraged to apply
