Position Summary
Responsible for providing administrative and clerical services in order to ensure effective and efficient operations. Assists and relieves the president and office team of administrative and clerical work. Supports all institute department’s needs. Responsibilities include but are not limited to formatting documents, arranging travel and meeting agendas/itinerary, preparing reports and financial data, filing, training and other tasks as directed. In addition, project, meetings and event coordination, and the ability to work with all levels of internal and external company employees, and external vendors.
Requires strong organizational skills. Desire to work in a fast-paced environment, with the ability to be flexible. Team player. Must have great customer service skills, excellent verbal, and written communication skills.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Prepares reports, files, and correspondence.
Locates and compiles information and formats reports, graphs, tables, records, and other sources of information. Must be highly proficient in Microsoft Office- Excel, PowerPoint, Word, Outlook.
Assembles and categorizes facts and figures for written computation and calculations.
Operates computer/electronic devices to access email, calendars, and other basic office support software.
- Keep projects on schedule and coordinate workflow.
- Handle phone and route call inquiries as needed.
- Document/create minutes at all meetings. Sends out information to all parties involved.
- Routes information to executives and other company officials.
- Manages calendar, schedules’ both development, operational, marketing, department objectives, and executives’ projects. Support and assists in meeting deadlines.
- Coordinates and organizes meetings, special events planning. Assists with the coordination of graduations.
- Performs other clerical duties such as scheduling appointments, providing information to callers, taking dictation, composing, and typing routine correspondence, and reading and routing incoming mail.
- Maintain project, marketing, procedural, new business material to ensure consistency and updated contents.
- Prepare executive correspondences as directed.
- Ordering supplies for office and institutes.
- Performs other clerical duties such as scheduling appointments, providing information to callers, taking dictation, composing, and typing routine correspondence, and reading and routing incoming mail.
- Files correspondence and legal documents in office filing system.
- Arrange travel, prepare itinerary, trip file and supplies, prepare/complete expense report and submit.
EDUCATION and/or EXPERIENCE:
High School degree or equivalent required, Bachelor’s degree preferred. One to two years related experience and/or training; or equivalent combination of education and experience.
Proficient with all office programs and social media.
