Executive Assistant

Looking for an Executive and Assistant who is capable of supporting an energetic entrepreneur based in Tampa. Candidate must be a detail oriented, pro-active, self-starter who can multi-task within evolving, cutting-edge business methods. Candidate must be willing and suited to keep updated with technological advances as they present themselves. The company is moving to a higher level on the tech front and it is imperative that the Candidate can adapt accordingly. Being team-oriented is one of the most critical qualities the Founder is looking for in a candidate. This is not a typical Executive/Admin Assistant position as the Founder is looking for someone who is ambitious and wants to grow with the company.

To be successful in this position, the candidate must be very organized, on top of things, determined and efficient. Keeping in mind at all times to, “Work Smarter, Not Harder”.

The utmost level of confidentiality and discretion must be adhered to at all times in this position. Confidentiality and discretion is one of the most absolute, primary requirements.

Job Summary: This position is responsible for maintaining the Founder’s schedule and providing comprehensive, high-level executive support in all areas. The Founder is looking for someone who can advance and flourish into a “right-hand man”. The Founder owns multiple companies and lives a very busy day-to-day life. Assistant must be capable of staying on track and completing work timely for the Founder.

Although the job description has been outlined, this position is in no way limited to these responsibilities. The position requires flexibility to complete duties.

EXECUTIVE AFFAIRS

  • Supporting and assisting the Founder professionally and personally.
  • Filing all documents electronically and understanding the importance of an organized, efficient filing system. Manage off-site filing system as needed.
  • Running errands accordingly with reliable transportation at all times.
  • Dealing with calls and correspondence on behalf of the Founder and ensuring that the Founder is kept up to date at all times.
  • IPad and iPhone support.
  • Writing memos, e-mails, letters, reports and applications as requested.
  • Maintaining calendar and arranging meetings for maximum efficiency.
  • Organize legal documents, both paper and electronic. Track legal draft comments from multiple parties, close all loops for related correspondence and follow up, and oversee proper execution.
  • Pro-actively finding more efficient solutions and alternatives for Founder on a day-to-day basis.
  • Maintaining contact files to support efficiency.
  • Schedule all business and personal travel including full itinerary research and development.
  • Track all travel point memberships and use to their maximum efficiency, tracking and reporting on a monthly basis.
  • Handle all medical scheduling for the Founder and file/track all medical insurance claims/reimbursements. Includes ordering and tracking all prescriptions.
  • Coordinate all vehicle maintenance and repair, including pick up and drop off as needed.
  • Procure theater or sporting events tickets as needed.
  • Plan personal events for the Founder such as dinner parties and cookouts as needed.
  • Manage operation of all home computer and audio/visual equipment, and address occasional home maintenance needs.
  • Manage a flexible schedule to assist Founder when requested.

ADMINISTRATION & HOSPITALITY

  • Perform support functions including all phone coverage for Executive Office, receiving and mailing packages and regular mail.
  • Foster an atmosphere of warmth and professionalism. This includes conversing with business associates and guests while serving as a host

during meetings as needed, etc. Personal projection is an important aspect of this responsibility.

  • Manage computer resources for Founder.
  • Manage all data entry in Founder’s contact databases..

SALARY: Competitive

HOURS: Primarily 9:00 AM – 5:00 PM with flexibility to accommodate after hours and weekends
