Primary Objectives

Work for a fast growing, Real Estate Development business by supporting a managing partner. The Executive Assistant will support key business projects, as well as, performs administrative duties which include, coordinating travel logistics, managing email communications, generating various reports, researching information, managing calendars and meetings, and creating various documents by using a variety of software packages. Role may include ad hoc assistance to two other partners as needed. Salary will be based on candidate experience.

Qualifications

  • MBA highly preferred, Bachelor’s Degree in Business or Finance required
  • Working knowledge of firm software systems, including but not limited to Microsoft PowerPoint, Publisher, Excel, Outlook, and Word
  • Exceptional Interpersonal skills in communicating with various levels of the organization and outside contacts
  • Evidence of the practice of a high level of confidentiality
  • Excellent organizational and project management skills
  • Friendly, well organized and enjoys dealing with people
  • Produces high quality work within the allotted time while managing time efficiently

Major Responsibilities

  • Assist in researching partner’s projects such as organizing corporate events, putting together presentations and charts, and gathering data from various departments to generate certain reports
  • Assist in the completion of operation projects assigned to the partner
  • Communicate with investors, employees, lenders, and industry participants on behalf of partner
  • Compile and organize investor and lender contact databases
  • Attend bi-weekly operations meetings to ensure effective communication by taking meeting minutes and following up on assigned responsibilities
  • Monthly, prep firm presentation slides based on operations projects and calendar events
  • Weekly or bi-weekly, prepare team agendas and take notes in order to ensure accountability and follow up on deadlines as required
  • Document meeting minutes at monthly and quarterly firm meetings
  • Coordinate travel including flights, rental cars, hotel reservations and meals
  • Manage responsibilities and deadlines to coordinate logistics for seminars and retreats
  • Ensure smooth handoff of inquiries from partners to others with seamless following-up
  • Daily, manage and organize files, phones and mail
  • Daily, manage partner’s calendars by scheduling meetings, conference calls and resources; looking ahead to ensure proper preparation, adding time for travel and proactively checking for conflicts and reschedule / alter
  • Update firm organizational charts with new hires, terminations, or position changes
